The Administrative Assistant provides essential administrative and customer service support to ensure the efficient daily operation of Safe Food Handlers Corp. This position serves as a primary point of contact for students, instructors, regulatory agencies, and business clients while coordinating training schedules, maintaining records, processing certifications, and supporting company operations.
Key Responsibilities
Administrative Support
- Manage daily office operations and administrative functions.
- Answer phone calls, emails, and customer inquiries in a professional and timely manner.
- Prepare, organize, and maintain electronic and physical records.
- Schedule appointments, meetings, training classes, and instructor assignments.
- Assist with document preparation, data entry, filing, and correspondence.
Customer Service
- Provide exceptional support to students, clients, and regulatory partners.
- Assist customers with registration, certification verification, and course information.
- Resolve routine customer concerns and elevate complex issues when necessary.
- Maintain accurate customer records and communication logs.
Training & Certification Administration
- Process food safety certification applications and training records.
- Verify course completion documentation and maintain compliance records.
- Coordinate class rosters, training materials, and certification distribution.
- Monitor certification expiration dates and assist with renewal communications.
- Support online learning platform administration and student enrollment processes.
Data Management & Reporting
- Enter and maintain accurate data within company databases and software systems.
- Generate reports related to training participation, certifications, sales, and operational metrics.
- Assist with tracking company performance indicators and maintaining organizational records.
- Ensure confidentiality and accuracy of all business and customer information.
- Process invoices, payments, and expense documentation.
- Assist with accounts receivable and customer billing inquiries.
- Maintain office supplies and coordinate vendor orders.
- Support special projects and operational initiatives as assigned.
Qualifications
- Minimum 1–3 years of administrative, office support, or customer service experience.
- Strong organizational and time‑management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Ability to manage multiple priorities while maintaining attention to detail.
