Job Overview

We're seeking a proactive, detail-oriented professional to provide specialized administrative support to Relativity Executives and senior leaders. This person will be responsible for keeping leaders on-track, organized and responsive. Executes special or continuous research and data analysis tasks. Triages and responds to incoming questions, offers solutions, compiles and analyzes data, and prepares reports/recommendations. Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and perform work. Able to maintain confidentiality of work. Assignments may be found in various functional areas.

Job Description and Requirements

Role Responsibility:

Administrative

  • Provides high level administrative support by proactively partnering with Engineering Leadership to facilitate their work, anticipate their needs and prioritize accordingly.

  • Manages calendar(s) for leaders, including annual planning, look-ahead calendars for review, and daily meeting coordination.

  • Creates and owns documents, spreadsheets, monthly/quarterly reports, and presentations.

  • Arranges travel plans and itineraries, and compiles travel documents.

  • May review direct reports' expenses and purchases in place of executive.

  • Assists with preparing and tracking departmental budgets, and completes expense reports.

  • Works with Procurement team when onboarding or renewing new software contracts.

Events

  • Manages team event set-up, breakdown and catering, including off-site events.

  • Manage multiple yearly department-wide events during all stages of planning and execution, including stakeholder input and plans for continuous improvement.

  • Rapid problem-solving and ability to pivot are essential.

Relationship Building

  • Remains knowledgeable of all company administrative policies and procedures, including resource management and signposting to resources.

  • Collaboratesfrequently with the wider admin team across the company and maintainsstrong working relationships.

  • Acts as delegate for leaders with their direct reports and service groups (HR, Facilities, Finance, IT).

  • Handles sensitive and confidential information with tact and diplomacy.

Preferred Qualifications:

  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook).

  • Strong written, verbal and listening communication skills.

  • High level of accuracy, attention to detail.

  • Maintains an advanced degree of confidentiality and sense of urgency.

Minimum Qualifications:

  • Minimum of 1 years' experience as an Administrative Assistant or commensurate experience.

Relativity is committed to competitive, fair, and equitable compensation practices.

This position is eligible for total compensation which includes a competitive base salary, an annual performance bonus, and long-term incentives.

The expected salary range for this role is between following values:

$50,000 and $76,000

The final offered salary will be based on several factors, including but not limited to the candidate's depth of experience, skill set, qualifications, and internal pay equity. Hiring at the top end of the range would not be typical, to allow for future meaningful salary growth in this position.
