Job summary

In this role you will multi-task in a fast-paced environment, provide reception support, and contribute to HDR's employee-owned culture. A high level of organization and communication is essential.

Qualifications

  • Strong verbal and written communication skills with attention to grammar, punctuation, proofreading and spelling.
  • Proficiency with MS Office including Word and Outlook.
  • Experience handling confidential information and multi-tasking in a fast-paced environment.
  • Preferred: AS/BS in related field and advanced PDF tools such as Bluebeam or Acrobat.

Responsibilities

  • Format, edit, and compile complex project documents such as construction specifications and technical reports.
  • Coordinate production, distribution, and tracking of design and construction documents including plans and contractor submittals.
  • Type and revise materials such as correspondence, reports, spreadsheets, and meeting notes.
  • Ensure deliverables are clear, organized, and accurate while adhering to branding standards.
  • Monitor and file project documentation according to filing structure and policies.
  • Provide general office support including reception coverage and visitor greeting.
  • Work under minimal supervision to meet compressed deadlines.
  • Be an engaged team member within HDR's employee-owned culture.

HDR is seeking a dynamic new member for our top‑notch team of administrative professionals in the Charlotte, NC office. We partner with our engineering professionals to make great things possible. In the role of Administrative Assistant, we’ll count on you to:

  • Format, edit, and compile complex project related documents such as construction specifications, technical reports, and memos
  • Coordinate production, distribution, and tracking of design and construction documents including plans and specifications, contractor submittals, meeting notes, and correspondence
  • Type, revise and combine materials such as correspondence, reports, spreadsheets, meeting minutes, scientific or technical material, numerical data, and tabular information from rough draft, corrected copy or previous versions
  • Ensure deliverables are clear, concise, well organized, and accurate
  • Ensure compliance with corporate branding and template standards as well as client standards and expectations
  • Monitor, track, and file large amounts of project documentation in accordance with project filing structure and corporate policies
  • Provide general office support including assistance with reception coverage, greeting employees and visitors, answering and directing phone calls, and miscellaneous task/projects as requested
  • Work under minimal supervision and meet compressed deadlines
  • Maintain a professional approach and commitment to being an engaged team member and an active participant of our employee‑owned culture
Preferred Qualifications
  • AS/BS in related field preferred
  • 3+ years related experience
  • Prior experience in construction or A/E industry
  • Advanced MS Word and Excel skills
  • Proficiency with PDF creation software desired (Bluebeam or Adobe Acrobat)
  • Proficiency with Adobe Creative Suite software desired
  • Experience with VisiSpecs, SpecsIntact or similar software preferred
  • Committed to excellence in professionalism and customer service
Required Qualifications
