About the Position

The Prince George’s County Department of Family Services is currently seeking qualified applicants to fill an Administrative Aide I (Administrative Aide 1A), grade A13, in the Children, Youth, and Families Division.

This is an entry level to a full performance, advanced administrative/secretarial level position requiring a broad knowledge of all functions of County Government. The scope of responsibilities includes, but not limited to, (1) administrative support to the Division Manager, (2) day-to-day office management responsibilities, and (3) coordination of diverse functions/activities.

The Department of Family Services improves the quality of life and overall well-being of the communities by providing information, assistance and referrals, as well as promoting and developing high quality, innovative programs that educate, empower, respect choice and preserve dignity. The department is responsible for providing assistance to some of the County’s most vulnerable citizens – children, families, victims of domestic violence, people with intellectual and developmental disabilities, veterans, and seniors. The department is comprised of three divisions that serve the aging and disabled, victims of domestic violence, as well as children, youth and families in need of support and resources.

Examples of duties
Administrative Support
  • Assists the Director in the administrative and management responsibilities of the Division for Children, Youth, and Families.
  • Prepares sensitive and confidential material, including correspondence, reports, grant proposals, contracts and disseminates to appropriate individuals.
  • Originate and/or drafts from the Director's notes a variety of correspondence, preparing in final form and ensuring timely mailing or distribution.
  • Serves as support staff to the Local Governing Board and Standing Committee meetings - attending meetings, preparing correspondence, minutes, and/or other material as directed/requested.
  • Responds to public inquiries, securing additional information as needed or ensuring that they are contacted by appropriate personnel.
  • Serves as liaison to the Department's Personnel Office, generating requests for PPA's, preparing PPA forms and distributing to appropriate supervisors checking timesheets for accuracy, and processing all other personnel issues. Distributes paychecks and timesheets to staff.
  • Prepares, coordinates, and forwards fiscal items for handling and/or payment.
  • Develops filing system and ensures that files are developed and maintained.
  • Maintains Director's calendar coordinating meetings, and making final arrangements for the various Board, Committee, State, and County meetings.
Office Management
  • Coordinates the activities of the Director's office and supports the related business functions of the Division.
  • Relieve the Division Director of administrative details associated with the efficient operation of the Division, i.e., appointments, meetings, etc.
  • Coordinates all appropriate work assignments to staff under the direction of the Division Director.
  • Maintains Fleet Management responsibilities ensuring that all vehicles are maintained appropriately.
  • Responsible for the handling and distribution of incoming mail, processing, prioritizing, and screening the Director's mail.
  • Facilitates the purchase of necessary supplies and equipment of all Division units.
  • Provides system support to the Division's automated information programs including PCS, LAN, and County-wide system.

  • Performs other tasks and duties as assigned which may not be specifically listed in the class specification or position description, but which fall within the general occupational category and responsibility level typically associated with the incumbent's class of work.
Qualifications
Minimum Qualifications
  • High school diploma or G.E.D. certificate with coursework in typing, office practices or other related clerical subjects.
  • One (1) year of advanced diverse and/or technical clerical experience which must have involved working with the public for at least six (6) months.

An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered.
