Job summary

BeneSys, Inc. is seeking an Administration Specialist to maintain eligibility and 401(k) records for participants and dependents. The role supports the Health and 401(k) plans and requires strong communication and organizational abilities.

You will handle enrollments, eligibility monitoring, and reporting for audits and partnerships with trustees and service providers. A hybrid in-office schedule is possible after training, with standard 8:00am–4:30pm hours.

Qualifications

  • Must be detail oriented with strong organizational and communication skills.
  • Able to multi-task in a fast-paced office environment and meet deadlines.
  • Proficient in Word, Excel, and Outlook.

Responsibilities

  • Respond to participant and service provider inquiries regarding eligibility and 401(k).
  • Process participant and dependent enrollments and monitor eligibility.
  • Prepare reports for Board of Trustees meetings and assist with audits.

Summary

The Administration Specialist maintains eligibility and 401(k) records for participants. Includes all functions necessary to monitor participation in Health and 401(k) Plans for participants and dependents.

Essential Duties and Responsibilities include but not limited to
  • Customer service: respond to participant, Trustee and service provider inquiries (including eligibility, death benefits, 401(k), etc.)
  • Conduct newly-indentured apprentice orientations at the Union Hall
  • Attend monthly retiree luncheons at the Union Hall
  • Process participant and dependent enrollments
  • Monitor eligibility including Self-pay and COBRA notices, disability credits, retiree set-up, retiree credits
  • Enroll Medicare-eligible members in MAPD arrangement.
  • QMCSO processing.
  • Provide eligibility counts to accounting department for billings
  • Posting and balancing of member payments
  • Create and upload 401(k) contribution files to recordkeeper
  • 401(k) enrollment/changes – notification to employers
  • 401(k) Benefit Withdrawal Processing
  • QDRO processing
  • Preparation of reports for Board of Trustees meetings
  • Compile information needed for annual audits and respond to auditor's questions
  • Coordinate mailings to participants: dollar bank statements, open enrollment, summary of material modifications, provider newsletters, etc.
  • Annual wellness stick updates
  • Regular and predictable attendance is an essential function of this job
Qualifications

This is a fast-paced position. Requires the ability to multi-task, prioritize, meet established client deadlines, and maintain focus. Must be detail oriented, have strong organizational skills, professional communication skills, and be able to work both independently and as part of a team in a cooperative, respectful manner. Must be proficient in Microsoft Word, Excel, and Outlook.

Education and/or Experience

High School diploma or GED. Prior related work experienceis a plus.

Language Skills

Ability to read, interpret and follow procedures outlined in Plan documents, user manuals, department procedures manual and other related documents. Ability to speakclearly and effectively with members, dependents, employers and coworkers.

Mathematical Skills

Ability to apply concepts of basic addition, subtraction, multiplication, and division. Must be able to understand and apply knowledge of decimals, fractions, and percentages.

Reasoning Ability

Analysis of accuracy of amounts in reports is required. Ability to apply commonsense to carry out detailed written or verbal instructions.

Physical Demands

This position involves sustained periods of sitting and keyboarding and occasionally lifting up to 20 pounds.

Work Environment

The position operates in an office/clerical setting, using standard office equipment such as computers, phones, photocopiers, filing cabinets, etc. The department can be fast paced.

Work Schedule

Full-time. Monday – Friday, 8:00am - 4:30pm. Required in office (Hybrid schedule with some at home days may be possible once trained).
