Job summary

Asian Counseling and Referral Service (ACRS) is seeking a full-time Administrative Gen - Client Retention Coordinator (Temporary) in our Administrative Services department. The role leads client retention activities, eligibility navigation, and coordinated outreach to maintain Medicaid coverage across programs and partners.

Responsibilities include outreach, documentation, and strategic coordination to reduce coverage loss.

Qualifications

  • Bachelor's degree required with focus in business administration, human or social services, public administration, law and/or project management preferred; AND
  • Two or more years of experience in project management and direct client services. OR
  • Highschool diploma or equivalent. AND
  • Five (5) or more years of experience in project management and direct client services.

ACRS seeks a full-time ADMIN-GEN - Client Retention Coordinator -Temporary in our Administrative Services department who serves as the primary coordinator for agency-wide planning, communication, and implementation of client retention efforts related to Medicaid requirements and redetermination timelines. This role leads the coordination of next steps across programs, departments, and community partners to ensure a consistent and proactive approach to maintaining client coverage. Responsibilities include client outreach, eligibility navigation, resource connection, compliance support, and strategic case coordination to reduce avoidable coverage loss. The position ensures clients are informed about qualifying activities, understand documentation requirements, and receive timely support to maintain eligibility and access to services. This temporary position is currently funded through December 31, 2026. Continuation beyond that date is contingent upon a review of available funding and approval of an extension.

COMPETITIVE BENEFITS PACKAGE INCLUDES:

  • Pay range is between $65,100 to $70,900 annually. Can increase based on experience.
  • This position is supported by grant funding and is subject to renewal based on continued funding availability.

ESSENTIAL JOB FUNCTIONS:

  • Lead the development and coordination of client retention activities by planning, organizing, and guiding next steps across internal programs and external partners, ensuring timely client outreach, eligibility support, documentation compliance, and continuity of coverage efforts. Serves as a subject matter resource on Medicaid eligibility and redetermination requirements. Tracks and analyzes data on outreach, placements, compliance, and outcomes. Provides regular reports to leadership on program status and risks. Participates in community coalitions and partner convenings.
  • Identifies and contacts clients who may be subject to new Medicaid requirements. Conducts individual screenings to determine eligibility or exemptions (e.g., disability, caregiving, pregnancy). Provides clear, culturally responsive education on requirements, timelines, and reporting expectations. Support impacted clients in completing timely eligibility redeterminations under new 6-month schedule. Maintains accurate records of client interactions, eligibility status, and engagement.
  • Assists clients with collecting, organizing, and submitting required activity documentation. Tracks deadlines, coordinates with internal staff, and follows up with clients to prevent noncompliance or coverage loss. Monitors client compliance status and escalates issues as needed.
  • Develops and maintains a database of qualifying activities including employment, training, education, and community service. Matches clients with appropriate opportunities based on skills, needs, and eligibility. Coordinates with external partners (community organizations, workforce programs, etc.). Supports onboarding and helps resolve participation barrier.
  • Attends all agency, program and team meetings, in-service trainings, and supervision.

POSITION QUALIFICATIONS:

  • Education and Experience:
    • Bachelor's degree required with focus in business administration, human or social services, public administration, law and/or project management preferred; AND
    • Two (2) or more years of experience in project management and direct client services. OR
    • Highschool diploma or equivalent. AND
    • Five (5) or more years of experience in project management and direct client services.

    • Proficient in navigating Learning Management Systems (LMS) platforms.
    • Able to efficiently research and perform various tasks using the internet.
  • Additional Requirements:
    • Must have reliable transportation. If using a personal or agency vehicle to fulfill job duties, must have a valid driver’s license and be insurable under ACRS’s auto policy. If using personal vehicle, must have current auto insurance.
    • Follows all agency policies and procedures as outlined in the Employee Handbook.

WORKING CONDITIONS: The position requires regular mobility within the office or workspace, may involve sitting for extended periods throughout the day and the ability to handle objects, tools, or controls. Occasional lifting or moving of up to 20 pounds may be required. Involves tasks where visual acuity is beneficial.

This position is hybrid, with work divided between remote and on-site locations. Approximately 90% of the work will be performed remotely (telecommuting), while the remaining 10% will be conducted on-site. These hybrid work expectations are subject to change at the agency’s discretion. The noise level in the on-site work environment is moderate.
