Job summary

The University of South Carolina School of Medicine Columbia seeks an Administrative Coordinator/HR Liaison to oversee departmental administrative operations and personnel management. You will coordinate recruitment, onboarding, and HR activities as the department’s primary liaison to Human Resources and time management systems.

You will provide comprehensive administrative support for 18 or more faculty and staff, ensuring compliance with university policies while maintaining confidential

Qualifications

  • Requires a bachelor’s degree in a job related field and 1+ years of related experience, or equivalent combination of certs/training/education/experience.
  • Knowledge of or ability to learn personnel procedures including HR practices at USC.
  • Strong computer/internet fluency and MS Office (Excel, PowerPoint, Word).

Responsibilities

  • Manages all personnel matters for the department, including hiring and onboarding of faculty, staff, and students.
  • Coordinates HR procedures with Office of Human Resources and time management systems.
  • Provides administrative support to teaching and research missions; supports department events and scheduling.
  • Maintains confidential records and processes requirements with discretion.
  • Supports hiring processes, onboarding and salary adjustments as needed.

Position Description

Under limited supervision, the Administrative Coordinator/HR Liaison for the Department of Pharmacology, Physiology & Neuroscience at the University of South Carolina Floyd School of Medicine will oversee, manage, and coordinate the department’s administrative operations, personnel management, and support services. We seek a collaborative, competent, and dedicated individual to join our outstanding team of faculty, staff, and students in supporting excellence in our research, education, and service missions. This position is responsible for managing all departmental personnel activities, including the recruitment, hiring, onboarding, and personnel administration of faculty, staff, and students. The incumbent serves as the department’s primary liaison to the Office of Human Resources and the university’s time management system, while also providing comprehensive administrative support for the department’s research and teaching missions. The department maintains a robust, externally funded research program and supports the educational missions of the Floyd School of Medicine through instruction and training of medical, graduate, and undergraduate students. This position works closely with administrative colleagues and provides support to approximately 18 full-time faculty members, plus research staff and graduate students. The successful candidate must demonstrate a strong commitment to conducting business lawfully, ethically, and with integrity by consistently adhering to all applicable university policies, compliance requirements, procedures, and regulations.


Job Related Minimum Required Education and Experience | Requires a bachelor’s degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.


Required Certification, Licensure/Other Credentials


Preferred Qualifications | Knowledge of or ability to learn UofSC personnel procedures, including experience with UofSC practices and procedures related to managing departmental human resources. Experience or skilled at use of online electronic forms and platforms including personnel management, T/L-ABS, PeopleAdmin, travel, and purchasing and some experience with PeopleSoft and University fiscal management systems. Knowledge of student-related procedures and practices, plus ability to coordinate diverse administrative functions.


Knowledge/Skills/Abilities| Skills needed in computer/internet fluency, demonstrated experience with human resources procedures and policies, and ability to multitask with attention to detail. Ability to exercise discretion in interpreting and applying established department policies and procedures and maintaining confidential records. Skilled use of computers and applications such as Microsoft Excel, Powerpoint and Word. Establish and maintain effective working relationships with co-workers, faculty and students. Conduct business lawfully and ethically by consistently adhering to compliance policies, procedures and regulations.


Job Duties


  • Manages all personnel matters for the department, including position establishment and reclassification, hiring of faculty, students, and staff, coordinating salary adjustments, and performance review/evaluations, plus serves as department liaison to Human Resources Office, Fiscal and Sponsored Program offices. Coordinates departmental Searches and onboarding as needed. Participates in meetings on fiscal and human resource matters for the department as needed, and updates faculty on evolving HR procedures.

  • Maintains confidential records for faculty, staff, and students including T/L-ABS management, FMLA requests, and time sheets. Executes travel authorizations requests, as needed.

  • Provides administrative support of all department teaching functions, including assistance with exam preparation and student-related processes as needed. Oversees appointment of students for stipend support.

  • Oversees office management and assists in planning and implementation of coordinating administrative duties within the department. Coordinates candidate interviews, departmental meetings, and department-sponsored seminars or lunches. Prepares and disseminates information for meetings, lectures, and assists with special reports for the Chair.

  • Assists in coordinating other general business activities for the department, and other duties as needed.
