  • Manage incoming requests and communications for the CFO, exercise judgment in prioritizing matters, and coordinate timely responses and follow-up.
  • Coordinate the preparation, organization, and distribution of materials for Finance Committee, Board of Trustees, and other leadership meetings. Attend assigned meetings, document decisions and follow-up items, and monitor completion of action items.
  • Conduct research and compile information for reports, presentations, and other materials related to Finance and Administration operations.
  • Maintain organized electronic records, correspondence, and other confidential Finance and Administration documentation.
  • Support the Manager of Insurance and Loss Prevention with annual insurance renewals, including data collection, document preparation, follow-up with internal insurance liaisons, and maintenance of renewal records.
  • Process routine requests for certificates of insurance and evidence of property insurance in accordance with established procedures, review completed documents for basic accuracy and refer exceptions or complex requirements to the Manager of Insurance and Loss Prevention.
  • Maintain the insured asset and exposure databases for insured properties, vehicles, and covered individuals; process additions, deletions, and other changes, and assist with periodic reconciliation and data-quality reviews.
  • Receive, route, and track incident reports and property-damage notifications in accordance with established procedures; maintain supporting records; and promptly escalation significant, incomplete, or time-sensitive reports.
  • Assist with administrative tracking of property, liability, automobile, and other claims; maintain supporting claim documentation; and follow up on outstanding information as directed.
  • Support scheduling and coordination of insurance, loss-control, appraisal, and facility‑inspection activities and assist with tracking recommendations and follow-up items.
