GENERAL DESCRIPTION OF POSITION

The Activity Coordinator is specifically responsible for implementing meaningful and appropriate activities for our residents. The Activity Coordinator plans, prepares for, implements and promotes activities to enhance the quality of life for all residents. This position is for an independent worker who will take the lead in encouraging resident participation and have sensitivity to the resident’s individual needs, as well as be a team player who loves to collaborate.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS
  • Must have a current, valid driver’s license for the state in which you are employed.

SUPERVISORY RESPONSIBILITIES

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Regular, on-site, attendance and punctuality is required as scheduled.
  • Takes responsibility for maintaining current knowledge of the Hawthorn Senior Living Employee Handbook.
  • Adheres to all company policies, procedures and standards.
  • Completes “Activity/Fitness Survey” on new and existing residents.
  • Consults residents on a regular basis, both individually and in resident group meetings, to ascertain activity preferences and subsequently makes any necessary program changes as needed.
  • Consults with the Culinary staff on a regular basis to facilitate the achievement of culinary-related activities.
  • Plans, prepares for, and implements activities of sufficient variety and at sufficient frequency with activity categories to include but not be limited to physical, intellectual, creative, vocational, social, emotional, and spiritual. Adapts these activities to the residents’ capabilities and interests.
  • Plans and prepares monthly activities calendar/newsletter and submits by deadline.
  • Distributes monthly facility calendar/newsletter to residents.
  • Informs residents of daily activities.
  • Invites residents to activities; assures they are reminded of activities as necessary.
  • Leads activities (as necessary) including fitness and exercise classes.
  • Communicates pending activities and events to Management Team.
  • Assists with the planning of special events including securing entertainment.
  • Locates instructors for educational programs.
  • Establishes and develops community contacts and resources.
  • Works closely with management and marketing staff, if applicable, concerning monthly marketing events.
  • Coordinates resident activities-related meetings and schedules them on the monthly calendar.
  • Participates in the resident food-related meetings and schedules them on the monthly calendar.
  • Instructs other staff members to effectively lead activities with approval of Manager.
  • Assures that activities are offered as scheduled or, if cancelled, that appropriate alternatives are offered.
  • Facilitates socialization among residents.
  • Plans, coordinates, and assists with decoration of facility routinely as well as for special events, holidays, and seasons, including all bulletin boards.
  • Assures Activity Room and any activity supply storage areas are clean and organized, including assuring that any food stored in Activity Room kitchen is stored in a safe, sanitary manner.
  • Recruits volunteers to assist and/or lead activities.
  • Instructs and supervises volunteers.
  • Facilitates community involvement through volunteerism by assuring an active resident community service program, including Ambassadors Club (for welcoming new residents) and other resident community service groups.
  • Plans and implements facility volunteer recognition program.
  • Plans and implements facility bus or other vehicle’s schedule in conjunction with other staff.
  • Orders activities supplies and arranges activities services, adhering to activities department budget.
  • Assists with proper use of fitness equipment; promptly reports any apparent problems with fitness equipment to Manager.
  • Meets or exceeds minimum expectations as outlined in the “Hawthorn Senior Living Activity Coordinator Minimum Expectations” document.
  • Performs other duties as directed by Manager.
OTHER DUTIES AND RESPONSIBILITIES
  • Performs all work assigned for the agreed-upon hourly wage, accepting no additional payment or non-perishable gifts from residents, vendors, Community Management, or others.
  • Use timekeeping system to report hours worked on a daily basis, as well as the start and stop times of your meal periods.
  • Meets the assigned work requirements of the job
  • Adheres to dress/appearance code. Changes in attire may be dictated by special occasion or weather conditions. If you have questions, check with a member of the Community Management Team.
  • Promotes resident advocacy and demonstrates excellent customer service at all times.
  • Serves as a role model for all employees by displaying a responsible, cooperative, and positive attitude.
  • Represents the Company and the community in a professional, courteous, and friendly manner, when in public.
  • Understands safe and proper chemical use and adheres to safety protocols. This includes using personal protective equipment when necessary.
  • Attends education and training classes as necessary to fulfill company training requirements and/or state regulations applicable to the position.
  • Maintains personnel, resident, and business proprietary and/or confidential matters/material in strict confidence with management of the Company (and/or other Company staff as needed).
