Responsibilities

  • Organize and maintain electronic and physical document systems.
  • Assist with tracking and completion support of commitments and document completion.
  • Analyze processes and workflows, formulate process improvements.
  • Research, assemble, and analyze facts; present data for senior leadership.
  • Track action items to ensure on-time completion and leadership expectations.
  • Develop and implement office policies and procedures.
  • Maintain calendar and scheduling for senior leadership.
  • Prepare, process, and maintain complex paperwork and forms.
  • Coordinate travel and prepare travel documentation including expense reports.
  • Safeguard sensitive information and manage sensitive records.
  • Review administrative/technical documents for format and accuracy.
  • Develop, analyze, and present products, training modules, and evaluation tools.
  • Attend meetings and prepare notes/minutes.
  • Ensure correspondence is completed accurately and timely per Navy policies.
  • Review Travel System authorizations and vouchers.
  • Update organization charts and phone listings.
  • Perform other administrative duties as assigned.

The Action Officer role will be on a dynamic team, supporting Team Submarine’s Submarine COLUMBIA Class Program Office. Team Submarine’s Submarine COLUMBIA Class Program Office is responsible for: The construction of COLUMBIA Class submarines, financial and budget management, shipyard support of submarines, vendor support of submarines, logistical support, quality assurance (SUBSAFE), and post-delivery submarine certifications and test programs.

The Team Submarine concept unifies once diverse submarine-related activities into a single submarine-centric organization with the goal of eliminating traditional stovepipe structures and processes that created impediments and inefficiencies in the submarine research, development, acquisition, and maintenance communities. Team Submarine provides improved communication among the various offices that contribute to the overall success of the United States Submarine Force.

Must be able to obtain/maintain/transfer a U.S. Department of War (DoW) Secret security clearance.

In this role, you will:

  • Organize and maintain electronic and physical document systems.

  • Assist with tracking and completion support of commitments and document completion.

  • Analyzing processes and workflows, formulating process improvement recommendations, analyzing technical/programmatic information to ensure smooth operation of the department, field location, or specific project.

  • Researching, assembling, and analyzing facts; and presents oral and written documents of compiled data for senior leadership use in responding to actions which require his/her personal attention.

  • Tracking action items to ensure they are complete and on time and meet leadership expectation.

  • Developing and implementing office and organizational administrative policies and procedures.

  • Maintaining calendar, scheduling of commitments, and reminding senior leadership of obligations.

  • Preparing, processing, and maintaining complex paperwork and forms (must have extensive knowledge).

  • Coordinating travel and preparing travel documentation to include expense reports.

  • Safeguarding sensitive business information, tracking, and delivering time constraint and recurrent tasks using sensitive records, information and data received on a constant basis.

  • Spearheading the review of administrative and technical documentation for format, editorial, and subject-matter accuracy, and clarity.

  • Development, analysis, and presentation of products, training modules, and evaluation tools.

  • Attending meetings and preparing notes and/or meeting minutes (attention to detail and punctuality is a must).

  • Ensuring correspondence (memoranda, letters, reports, instructions, etc.) is completed accurately in a timely manner in accordance with the Department of the Navy Correspondence Manual and applicable policies.

  • Reviewing Defense Travel System travel authorizations and vouchers for program office personnel.

  • Updating office organization chart and phone listings

  • Other administrative duties as assigned.

To be successful in this role, you will have:

  • To obtain/maintain a DoW Secret security clearance.

  • A Bachelors’ degree and 4 years of experience.

  • or an Associate’s degree and 6 years of experience.

  • or a High School diploma/GED or military experience equivalent and 8 years of experience.

  • An advanced MS Office skillset to include Outlook, PowerPoint, Word, Teams, and Excel.

  • The ability to multi-task in a fast-paced environment accepting emergent tasking with little to no supervision and/or direction.

  • Discretion in performing specified work requirements.

  • An outstanding written and oral communication skills to communicate effectively and build strong working relationships with a vast team of diverse professionals.

  • Attention to detail and the ability to meet tight deadlines, as well as work independently and with sufficient knowledge to present projects to senior management.

  • To be able to travel 10%.
