Job summary

Responsibilities

  • Coordinate calendars, meetings, travel, and tasking with CZ-WD Front Office.
  • Inform leadership and synchronize efforts across divisions.
  • Manage, track, and execute actions in the Task Management Tool.
  • Serve as Department Timekeeper.
  • Prepare data analyses and write reports for senior leaders.
  • Review and route incoming correspondence.
  • Distribute action items to divisions and staff.
  • Monitor department evaluations and awards processing.
  • Provide tasker support and coordinate with other officers.
  • Support projects, track progress, and manage distribution lists.
  • Assist with civilian awards documentation in DTRA workflows.
  • Manage flow of correspondence, presentations, forms and emails.
  • Finalize travel arrangements via DTS and handle reimbursements.
  • Interface with internal/external POCs.

POSITION OVERVIEW

DEFTEC Corporation is seeking a senior Action Officer for a position supporting WMD Defeat Department within the Defense Threat Reduction Agency (DTRA), located at Fort Belvoir, VA.

JOB RESPONSIBILITIES

  • Work in close coordination with CZ-WD Front Office (FO) to manage scheduling and coordination of calendars, meetings, conferences, video teleconferences, travel arrangements, and tasking.
  • Keep Department leadership informed of relevant organizational events; synchronize and coordinate efforts across all Department Divisions and teams; support coordination with other government and contractor personnel assigned to Department to support leadership requirements; organizing and de-conflicting Department meetings and responses.
  • Receive, analyze, manage, track, and execute all actions related to tasks assigned to the Department received within the Task Management Tool (TMT) system.
  • Perform duties as the Department Timekeeper.
  • Perform complex tasks involving gathering, analyzing, and compiling data and information into well‑written reports and presentations, to support senior leader decision making.
  • Review, screen, control, maintain records, and coordinate responses on incoming correspondence.
  • Distribute and track assigned Department action items to appropriate Divisions and Department staff elements.
  • Maintain awareness due‑outs, such as the department's military evaluations or awards, and assist with in / out processing, as needed.
  • Provide tasker support, including researching resources and coordinating with other action officers across the agency at large.
  • Support Department projects and priorities, tracking progress and suspense's, manage classified and unclassified distro lists and restricted folders.
  • Support the department with civilian awards, including assisting with drafting, proofing, and submitting all documentation required into appropriate DTRA workflow platforms.
  • Manage flow of classified and unclassified correspondence, presentations, forms and emails.
  • Edit and produce final draft copy of formal correspondence, correspondence summaries, briefings, reports, and a wide variety of other analytical, process flow, spreadsheets, and documents.
  • Finalize travel arrangements utilizing the Defense Travel System (DTS); follow up with expense reimbursements, and receipts tracking.
  • Interface with other support services including internal and external organizational POCs.
QUALIFICATIONS:
Required Qualifications:
  • Must be a U.S. Citizen
  • Possess Top Secret security clearance and be eligible for immediate SCI nomination and indoctrination
  • Bachelor's Degree or higher from an accredited college or university
  • A minimum of ten (10) years of professional Government-agency, military, or corporate experience providing action officer support
  • Experience working in a time‑sensitive environment with a high‑level of accountability.
  • Experience with platforms such as the DTS, DAI civilian timecard system, and SharePoint.
  • Demonstrated experience in the ability and skills to manage multiple projects, keep track of, or adjust existing tasks while identifying new tasks and expectations as projects evolve.
  • Excellent oral and written communication skills geared towards executives.
  • Demonstrated ability to write clear, concise, and articulate correspondence with a focus on quality control and attention to detail.
  • Strong interpersonal and customer service skills that foster teamwork and create positive relationships with staff and principals.
  • Working knowledge of coordination requirements for the successful preparation and approval of reports, briefings, memoranda, and presentations.
  • Ability to prioritize, multi‑task, plan, problem solve and adapt in a fast‑paced and strategic environment under minimal supervision.
  • Familiarity with task management platforms, such as ETMS2, TMT, or CATMS.
  • Proficiency with MS Office applications (e.g., TEAMS, Word, PowerPoint, Excel, and Project).
Preferred Qualifications:
  • Process improvement related experience preferred.
