General Description

This position will manage all aspects of the American College of Surgeons (ACoS) accredited projects and the projects with 300-500 cases per year in conjunction with leadership to ensure project goals and objectives are met.

This position provides supervision, portrays a professional and positive work ethic and attitude, cooperative, committed, dependable and able to multitask. This individual must be organized, demonstrate initiative, ensure efficient use of time and resources, as well as possess effective problem-solving skills. In addition, written and oral communication is effective, professional, and grammatically correct.

Qualifications
  • Oncology Data Specialist (ODS-C), required.
  • At least three years of registry abstracting experience and use of all cancer registry industry related reference manuals, required
  • Knowledgeable of service line standards and regulations as defined by appropriate governing/accrediting body.
  • Proficient skill level in MS Office products, industry related cancer registry software systems and EMR applications.
  • Maintain strong organization skills including prioritizing tasks, time management and detail orientation.
  • Demonstrates human relation skills including ability to empathize, social sensitivity, clear effective communication, listening skills and establish effective and cooperative relationships quickly.
  • Displays flexibility, willingness to respond to changing circumstances and/or expectations.
  • Handles stressful situations while maintaining professional demeanor.

  • Knowledgeable of registry operations standards and processes.

  • At least five years of registry abstracting experience in ACoS programs, preferred.
  • At least five years of registry management or other health related management experience in a team-2 oriented workplace, preferred.
  • Knowledge of accreditation process and standard requirements for American College of Surgeons accreditation programs, including Commission on Cancer (CoC), National Accreditation Program for Breast Centers (NAPBC), National Accreditation Program for Rectal Cancer (NAPRC), preferred.
  • At least two years of experience in Registry Operations functions of an ACoS facility including but not limited to RCRS, annual call for data, NCDB reports, quality measures, and data requests, preferred.
  • At least two years as a Registry Operations Manager or related experience, preferred
  • Associates or Bachelor's degree in Health Information Management or related field, preferred.
Essential Duties/Key Responsibilities/Accountabilities
  • Manages all abstracting and operations activities in accordance with state registry requirements for assigned projects with 300-500 cases per year and within the ACoS Service Line.
  • Manages all abstracting and operations activities in accordance with ACoS requirements for accredited projects and ensures the timely completion, compliance, and accuracy of all data management activities such as RCRS and the annual call for data.
  • Serves as the subject matter expert for registry operations functions and all accreditation requirements and expectations.
  • Completes all ACoS accreditation program meeting preparations, documentation, and minutes in a timely and professional manner, as assigned.
  • Coordinates and actively participates in ACoS accreditation committee meetings and presents direction for compliance, recommendations, and areas for improvement for assigned projects.
  • Performs a quarterly GAP Analysis and end of year summaries for compliance status for assigned projects.
  • Updates the Pre-Review Questionnaire (PRQ) in preparation for site visits, as applicable.
  • Provides mentoring and guidance on standard compliance and responsibilities to client staff, including committee members and coordinators.
  • Presents recommendations for best practices and process improvements.
  • Attends and participates in all ACoS program accreditation site review activities, as requested.
  • Monitors project priorities, deadlines and productivity to ensure goals and expectations are being met.
  • Reviews billing, case log and productivity reports for assigned projects.
  • Ensures all project instruction documents and policies/procedures are followed as outlined.
  • Ensures the registry operations functions of an ACoS accredited facility are compliant.
  • Forecasts ODS work hours to meet the needs of each project.
  • Provides clear expectations, goals, and deadlines to project team.
  • Works in collaboration with Quality Manager assigned to projects.
  • Conducts coaching calls and participates in other quality performance related incident calls.
  • Investigates and documents area of concerns/noncompliance issues as outlined in the Disciplinary Action Policy and Procedure.
  • Communicates any client or staff concerns to the Accreditation Services Director.
  • Performs as a Project Specialist or Data Abstractor I as outlined in the appropriate job description, when needed.
  • Fulfills committed work hours each week to meet the requirements of clients, employees and the company during normal business hours and a cross standard business days (Monday through Friday, 8:00 am to 5:00 pm in your time zone) and during non-standard hours (evenings, nights, weekends and holidays) as needed.
  • Use of the company phone when out of office to maintain availability and assist with the expected response time, within four business hours of call, email or request for assistance. Completes timesheets and case logs in real time/daily and finalizes with signature by Sunday at midnight.
  • Meets productivity standards for operations tasks as defined for each project.
  • Other duties as assigned.
