Job summary

Smart Care is a national repair and service provider for commercial foodservice equipment. The Accounts Receivable Specialist role in Grand Rapids, MI will handle invoicing, payment postings, and reconciliations to ensure timely collection and accurate AR records.

Ideal candidates have 2+ years AR experience, strong Excel skills, and a proven ability to resolve billing issues while communicating clearly with customers and internal teams. This is a full-time role supporting month-end close.

Qualifications

• High school diploma or equivalent; associate or bachelor’s degree in Accounting, Finance, or a related field preferred.
• 2+ years of accounts receivable, billing, collections, or accounting experience.
• Strong understanding of basic accounting principles.
• Proficiency with Microsoft Excel and accounting/ERP systems.
• Excellent attention to detail and organizational skills.
• Strong written and verbal communication skills.
• Ability to prioritize tasks and meet deadlines.
• Ability to handle confidential financial information professionally.

Responsibilities

• Manage daily accounts receivable activities including invoicing, payment posting, and account reconciliation.
• Monitor customer accounts and follow up on outstanding invoices and overdue balances.
• Research and resolve billing discrepancies, payment issues, and account disputes.
• Process and apply customer payments to appropriate accounts.
• Prepare and distribute customer statements, invoices, and collection notices.
• Perform regular account reconciliations and maintain AR records.
• Communicate professionally with customers regarding balances, payments, and inquiries.
• Assist with month-end and year-end closing activities.
• Prepare AR aging reports and other financial reports as required.
• Collaborate with Sales, Customer Service, and Accounting teams to resolve issues.
• Identify opportunities to improve billing and collection processes.
