Base pay range

$75,000.00/yr - $95,000.00/yr

Join a mission-driven, high-impact team at a sustainability-focused consultancy in the AEC industry as our new Accounts Receivable Specialist. Our client is seeking a highly detail-oriented financial professional with expertise in QuickBooks, experience managing high volumes of invoices, and a strong understanding of the Architecture, Engineering, and Construction (AEC) billing landscape.

What You'll Do

As the Accounts Receivable Specialist, you’ll be a key part of ensuring that client billing, cash flow, and accounting systems are timely, accurate, and aligned with company goals. Your work will help support strategic growth, financial health, and operational efficiency.

Primary Responsibilities (AR-Focused – 75%)

• Generate and send large volumes of client invoices with accuracy and timeliness
• Manage onboarding documentation such as W9s, COIs, and payment portal enrollment
• Track and follow up on outstanding accounts receivable
• Maintain and update budget tracking spreadsheets
• Run monthly reports on billing progress, including expected vs. actual invoicing
• Serve as the primary accounting contact for clients, handling billing questions and collections
• Implement and monitor AR collection strategies and key metrics
• Analyze trends to ensure consistent and predictable cash flow

Additional Responsibilities (AP + Systems)

• Process vendor payments via QuickBooks Bill Pay and credit card
• Reconcile bank and credit card statements
• Manage incoming payments, apply receipts, and process reimbursements
• Assist with occasional payroll processing and compliance tasks
• Troubleshoot QuickBooks issues and serve as the internal go-to for optimizing workflows
• Collaborate on process improvements across finance and operations

Qualifications

• 3+ years of experience in accounting or accounts receivable, preferably within the AEC industry
• Proven ability to manage high-volume invoicing and collections cycles
• Advanced user of QuickBooks Online
• Familiarity with AEC-specific billing practices, including pay applications and lien waivers
• Strong communication, organizational, and analytical skills
• Bonus: Experience with Salesforce and/or AR automation tools
