Job summary

Ideal Services NW LLC is a fast-paced facility maintenance company serving chain-store and retail clients. We seek an experienced Accounts Receivable and Service Billing Specialist based in Washington state to manage invoicing, customer portals, and billing accuracy across multiple locations.

You will prepare invoices, verify details, and coordinate with account managers and technicians to ensure timely payments while maintaining thorough records.

Qualifications

• 2–3 years of accounts receivable, invoicing, or service-billing experience.
• Experience with customer web portals and web-based billing systems.
• Proficiency with Microsoft Office, including Outlook, Word, and Excel.
• Exceptional attention to detail and accuracy.
• Experience billing chain-store, retail, or multi-location customers preferred.

Responsibilities

• Prepare, review, submit, and post customer invoices for completed service work.
• Submit invoices and supporting documentation through customer web portals.
• Verify that invoices include all required work-order details, labor, materials, purchase orders, technician notes, and supporting photographs.
• Communicate with account managers, service technicians, and other team members to obtain missing or corrected billing information.
• Monitor invoice status and follow up on rejected, disputed, or unpaid invoices.
• Research and resolve billing and payment discrepancies.
• Maintain accurate customer records and billing documentation.
• Perform general clerical and administrative duties.
• Assist management with special projects as needed.
• Perform other related duties as assigned.
