Job summary

Qualifications

  • High School Diploma or equivalent required; Associate degree preferred.
  • 1–3 years of experience in accounts receivable or similar role, preferably in manufacturing.
  • Knowledge of government payment systems (e.g., WAWF, IPP) is a plus.
  • Strong analytical, problem-solving, negotiation, organizational, and technical skills.
  • Attention to detail and ability to make sound decisions in a fast-paced environment.
  • Proficiency with ERP systems and Microsoft Office applications.

Position Summary

The Accounts Receivable Associate is responsible for the timely and accurate processing of customer invoices and credit memos for goods and services. This role oversees invoice processing, payment application, and collections while ensuring compliance with company policies and internal controls. The successful candidate will help drive collections performance, maintain accurate financial records, meet critical deadlines, and support both internal and external financial audits.

Primary Duties and Responsibilities
Invoicing & Billing
  • Generate, verify, and distribute accurate customer invoices in a timely manner.
  • Process invoices through various customer portals, including but not limited to:
    o IPP
    o WAWF
    o Taulia
    o Oracle
    o Exostar
Payment Processing
  • Record and apply customer payments received via checks, ACH, wire transfers, and credit cards.
  • Process credit card transactions for Fairbanks Morse and affiliated business units.
  • Collections
  • Monitor Accounts Receivable aging reports.
  • Follow up on overdue accounts via telephone and email.
  • Manage and resolve past-due balances while maintaining strong customer relationships.
Account Reconciliation
  • Investigate short payments and preliminary customer disputes.
  • Apply write-offs when appropriate.
  • Reconcile payments and credit memos against the general ledger.
  • Cross-Functional Collaboration
  • Partner with Service Administration, Parts, Logistics, and Sales teams to clarify payment terms and resolve customer disputes in a timely manner.
  • Provide regular customer account status reports, Accounts Receivable aging reports, and DSO reporting.
  • Ensure Accounts Receivable policies, procedures, and internal/external controls are consistently followed.
  • Assist with month-end close activities.
Qualifications and Educational Requirements
  • High School Diploma or equivalent required; Associate degree preferred.
  • Minimum of 1 to 3 years of experience in a similar role, preferably within a manufacturing environment.
  • Knowledge of government payment systems is a plus (WAWF, IPP, etc.).
  • Must possess strong analytical, problem-solving, negotiation, organizational, and technical skills.
  • Strong attention to detail and the ability to make sound, quality decisions.
  • Ability to multitask in a fast-paced environment.
  • Proficiency using an ERP software package.
  • Proficient in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.

This position includes access or potential access to export-controlled data. Therefore, candidates must qualify as a U.S. Person, defined as a U.S. Citizen, U.S. Permanent Resident, or political asylee in compliance with the International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR).
