Job summary

Applied Optoelectronics, Inc (AOI) in Sugar Land, TX is hiring an Accounts Payable Specialist to manage the end-to-end vendor invoice lifecycle. The role requires timely processing, accurate coding, and strong collaboration with vendors and internal teams.

Onsite work hours are 9am–6pm CT, Monday through Friday, in a manufacturing environment. The ideal candidate has 1+ year of AP experience, solid Excel skills, and familiarity with SAP S/4HANA or similar ERP.

Qualifications

• 1+ years of experience in accounts payable or related accounting function.
• Familiarity with accounting software and ERP systems.
• Working knowledge of accounts payable processes, accounting principles, and financial controls.
• Proficiency in Microsoft Excel and related software.

Responsibilities

• Receive, review, and process vendor invoices promptly and accurately.
• Code invoices, verify pricing/terms, and enter into the accounting system.
• Prepare and process payments (checks, ACH, wire) and reconcile transactions.
• Communicate with vendors to resolve payment inquiries and discrepancies.
• Perform monthly reconciliations and assist with month-end close.
• Generate and review AP reports for management and auditors.

Summary

As an Accounts Payable Specialist, you will play a crucial role in the financial operations of the organization by managing the timely and accurate processing of all vendor invoices and payments. Your primary responsibilities will include reconciling accounts, verifying invoices, processing payments, and ensuring compliance with company policies and procedures. Attention to detail, strong organizational skills, and the ability to work effectively in a fast-paced environment are key attributes for success in this role.

Responsibilities

Invoice Processing

• Receive, review, and process vendor invoices in an accurate and timely manner.
• Verify invoice details, including pricing, quantities, and payment terms.
• Code and enter invoices into the accounting system for payment processing.

Payment Processing

• Prepare and process electronic payments, including checks, ACH transfers, and wire transfers.
• Reconcile payment transactions and ensure accuracy in financial records.
• Address and resolve any discrepancies with vendors regarding payments.

Vendor Management

• Communicate with vendors to address inquiries and resolve issues related to invoices and payments
• Establish and maintain positive relationships with key vendors.
• Ensure compliance with vendor contracts and payment terms.

Account Reconciliation

• Reconcile accounts payable transactions and resolve any discrepancies.
• Perform monthly reconciliations to ensure accuracy of financial records.
• Assist in month-end and year-end closing processes.

Reporting

• Generate and analyze accounts payable reports for management review.
• Provide regular updates on outstanding payables and cash flow projections.
• Assist internal and external auditor for accounts payables

Compliance

• Ensure adherence to company policies and procedures related to accounts payable.
• Stay informed about changes in accounting regulations and compliance requirements.

Process Improvement

• Identify opportunities for process improvement and efficiency in accounts payable procedures.
• Collaborate with cross-functional teams to implement best practices

Qualifications

Candidates must be authorized to work in the United States. Visa Sponsorship is not available for this position.

Required

• 1+ years of experience in accounts payable or a related accounting function.
• Familiarity with accounting software and ERP systems.
• Working knowledge of accounts payable processes, accounting principles, and financial controls.
• Excellent attention to detail and accuracy.
• Effective communication and interpersonal skills.
• Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
• Proficiency in Microsoft Excel and other relevant software applications.

Preferred

• Associate's or bachelor's degree in Accounting, Finance, or a related field.
• Experience with SAP S/4HANA.
• Experience in a manufacturing or distribution environment.

Location & Work Environment

This position is full-time onsite and based in Sugar Land, Texas. This location has a combination of office, warehouse, and cleanroom manufacturing work environments. Business Hours for this position are 9am to 6pm CT, Monday through Friday.
