Job summary

ACCO Engineered Systems is seeking an Accounts Payable Specialist II to join our team in California. You will complete payables processing, code invoices to GL accounts, and collaborate with project managers to resolve discrepancies.

The role requires 2+ years in AP, proficiency with Excel and Windows, and accuracy in data entry. You will support complex reconciliations, imaging systems, and vendor communications to ensure timely, accurate payments.

Qualifications

  • High School diploma or equivalent required.
  • Minimum 2+ years AP experience; construction A/P a plus.
  • Proficient with MS Windows, Word and Excel; use of formulas encouraged.
  • Experience with paperless invoice/imaging systems preferred.
  • Accurate 10-key by touch with high data-entry accuracy.
  • Strong customer service and professional phone skills.
  • Good analytical skills and meeting deadlines.

Responsibilities

  • Review and maintain A/P imaging inbox and process payables.
  • Route vendor invoices for approval and code to GL accounts.
  • Reconciling open balances and payment discrepancies with vendors.
  • Perform complex PO or Subcontract reconciliations and corrections.
  • Enter multi-line invoices and GL coding in JDE.
  • Assist others with complex invoice processing and coding issues.
  • Ensure compliance with A/P procedures and standards.
  • Collaborate with Purchasing and Credit & Collections.
  • Handle Gas and Vehicle Maintenance charges as required.

Job description

General Job Description:

Under the general direction and supervision, the Accounts Payable Specialist II completes general payables processing and related administrative duties.

Supervises:

Essential Duties & Responsibilities
  • Review and maintain A/P imaging invoice inbox and complete payables processing, including:
  • Routing vendor invoices to project managers and/or assigned personnel for invoice approval
  • Coding invoices to appropriate G/L accounts, Matching to Purchase Orders or Subcontracts
  • Researching and correcting invoice issues (i.e., approval delays, discrepancies, etc.) in a timely manner
  • Assuring compliance with established A/P procedures.
  • Working with vendors to reconcile open balances and payment discrepancies.
  • Collaborating with the Purchasing and Credit and Collections Departments
  • Perform complex PO or Subcontract reconciliations and make the necessary corrections / invoice reversal / re-entry
  • Assist other Specialists with complex invoice processing and GL Coding issues
  • Perform multi line and multi invoice uploads into JDE
  • Process Gas and Vehicle Maintenance charges
  • Special projects and other duties and responsibilities as assigned.
Position Requirements (Skills, Knowledge, Abilities):
  • High School diploma or equivalent required
  • 2+ years of previous Accounts Payable work experience (experience with Construction A/P department and/or accounting system preferred, but not required)
  • Proficiency with MS Windows, including MS Word and MS Excel (e.g. can accurately complete sum functions and calculations using Excel formulas)
  • Previous experience with document imaging administration (a.k.a. "paperless" invoice system) preferred but not required.
  • Accurate 10-key by touch (7000+ keystrokes preferred) and demonstrated data-entry accuracy
  • Demonstrated customer service excellence, including professional, courteous phone skills
  • Good analytical skills
  • Ability to work under pressure to meet deadlines

Hours:

This is a non-exempt position. Workdays are scheduled from Monday through Friday. Typically, work hours begin and end between 7:00 am and 5:00 pm as scheduled with the position's supervisor, with a minimum thirty-minute and maximum one-hour break for lunch, and two rest breaks. Occasional overtime may be necessary per business needs.

Competitive Wages:

$26-$30 per hour.
