Job Overview: We are seeking a detail-oriented Accounts Payable Specialist to join our growing and fun finance team in Los Angeles! This role will be reporting to the Assistant Controller, and you will be responsible for managing the vendor and production payment process, ensuring timely payments and maintaining strong vendor and cross-team relationships. The ideal candidate will have proven experience in processing a high volume of payables, excellent organizational skills, a high degree of attention to detail, and the ability to collaborate with cross-functional teams and build strong relationships.

Responsibilities

• Manage the full accounts payable cycle, from receiving invoices to ensuring accurate coding, approval, and timely payment.
• Process and verify vendor invoices, investigating and resolving discrepancies as needed and ensuring compliance with company policies and budgetary guidelines.
• Prepare and manage payment runs (ACH, checks, wire transfers) and ensure payments are processed within agreed timelines.
• Coordinate with the internal production teams to ensure that payment requests for production services are accurate and timely.
• Update and maintain production costs and other data in Airtable and support reconciliation for monthly capitalization of titles.
• Contribute to identifying areas for process and system (e.g. Bill.com, QuickBooks, Airtable) improvements for the accounts payable and production payment processes to drive best practices and increase efficiency.
• Ensure tax compliance, such as 1099 filings.

Physical Requirements

• Primarily office-based work setting.
• Must be able to work onsite Tuesday, Wednesday and Thursdays from our office in El Segundo.
• General work hours are from 9:00 AM to 5:30 PM, with the ability to work outside of normal hours for time-sensitive projects.
• Prolonged periods sitting at a desk and working on a computer.
• Ability to walk, stand, and move around the office as needed.

Qualifications

• 3-5+ years of relevant experience in accounts payable management (experience in the publishing industry a plus).
• Growth mindset, with the ability to contribute to assessing and improving core processes as the volume and complexity grows.
• Strong working knowledge with systems and accounting software (e.g. Airtable, QuickBooks and Bill.com, or similar) and Excel.
• Excellent attention to detail, organizational skills, and the ability to prioritize multiple tasks in a fast-paced environment.
• Strong communication skills, with the ability to interact with department leaders, external auditors, and cross-functional teams.
• A collaborative mindset with a strong sense of ownership and accountability.
