Job summary

Rock Ventures, Detroit-based, is seeking an Accounts Payable Specialist to maintain financial records and support the Finance team. You will match, code, and post invoices, reconcile balances, and ensure timely payments in our accounting systems.

The role emphasizes detail, accuracy, and collaboration with leadership to approve invoices, manage vendors, and assist with month-end close while adhering to company policies.

Responsibilities

• Match, verify and code invoices in the accounting system(s).
• Receive and post receipts and reconcile balances.
• Set up and maintain vendors or payors in the accounting system(s).
• Ensure transactions are timely and accurate.
• Reconcile amounts owed by comparing invoice to POs or other records.
• Review invoices and verify approval for payment and select the correct invoice flow.
• Prepare check batches for payment and process daily check requests.
• Follow up with leadership to get approval on unapproved invoices.
• Deposit checks and balance check deposits for accounts.
• Make journal entries for bank-related items (credit cards, checks, etc.).
• Respond to inquiries and resolve discrepancies from vendors, suppliers, internal clients and team members.
• Assist with month-end and year-end closing activities, including reconciliations and reporting.
• Ensure compliance with accounting policies, procedures, and relevant regulations.
• Identify and recommend process improvements.

The Accounts Payable Specialist performs the duties necessary to maintain financial records and assist with the general operations of the Finance team.

About The Role

• Match, verify and code invoices in the accounting system(s)
• Receive and post receipts and reconcile balances
• Set up and maintain vendors or payors in the accounting system(s)
• Ensure transactions are timely and accurate
• Reconcile amounts owed by comparing invoice to POs or other records
• Review invoices and verify that they comply with organizational policies and are approved for payment and/or select the appropriate invoice approval flow
• Prepare check batches for payment and process daily check requests
• Follow up with leadership to get approval on unapproved invoices
• Deposit checks received and balance check deposits for account(s)
• Make journal entries for everything that comes through the bank for credit cards, checks, chargebacks, chargeback credits, check returns, etc.
• Respond to inquiries and research and resolve concerns or discrepancies from any of the following: vendors, suppliers, external clients, internal clients and/or team members
• Assist with month-end and year-end closing activities, including reconciliations and reporting
• Ensure compliance with accounting policies, procedures, and relevant regulations
• Identify and recommend process improvements to enhance efficiency and accuracy within the accounts payable function
