Reports to: Controller

Location: West Valley City, Utah - on-site four days a week, one day remote

Status: Full-time

Position Summary

SilencerCo is hiring an Accounts Payable Manager to own the accounts payable function from start to finish. This person will be accountable for the full procure-to-pay cycle - vendor setup, invoice processing and matching, approvals, payment execution, close, and reporting. You will lead a three-person AP team, with the AP Specialist and AP Clerk reporting directly to you, set the standards for how payables work at SilencerCo, and serve as the Controller's right hand on cash outflows.

The role sits inside a small, high-volume, high-visibility finance team. AP at SilencerCo supports a manufacturing operation with inventory purchases, contract manufacturing, large capital projects, and a broad vendor base, so getting it right means working closely with Purchasing, Receiving, and Operations. Day-to-day invoice entry and the AP inbox sit with the Clerk and Specialist; this role owns the function and the issues that rise above them. We are looking for a hands-on leader who will still work in the details when needed, build processes that scale with the business, and become the person the rest of the company trusts when they have a vendor or payment question.

Key Responsibilities
Procure-to-Pay Ownership
  • Oversee all accounts payable processes end to end, including vendor onboarding, invoice intake, PO and receipt matching, approvals, payment runs, and vendor account reconciliation, with day-to-day execution handled by the AP Specialist and AP Clerk.
  • Oversee two- and three-way match against purchase orders and receiving, and serve as the escalation point for high-level or unresolved price, quantity, and receipt discrepancies.
  • Own the weekly payment run: prepare and review payments across ACH, wire, check, and card for approval and release, ensuring vendors are paid accurately and on terms.
  • Run recurring meetings with Purchasing to review open POs, matching exceptions, vendor issues, and upcoming payment needs.
  • Partner with the Controller on cash requirements forecasting and payment prioritization, including management of early-pay discounts and vendor terms.
Team Leadership
  • Directly supervise, train, and develop the AP Specialist and AP Clerk; set clear priorities, review work for accuracy, and hold the team to deadlines and quality standards.
  • Assign and balance workload so that invoice entry, the AP inbox, vendor issues, and close tasks are covered without bottlenecks or single points of failure.
  • Build cross-training and backup coverage so the function keeps running during absences, peak periods, and growth.
Vendor Management
  • Own vendor relations, including maintaining the vendor scorecard and using it to review supplier performance with Purchasing and key vendors.
  • Own the vendor master file: review and approve new vendor setups completed by the AP Specialist, verify W-9 and banking information, and lead periodic cleanup of inactive or duplicate vendors.
  • Serve as the escalation point for high-level vendor issues and disputes; build working relationships with key suppliers so issues get resolved before they affect supply.
  • Review vendor statement reconciliations and aged, unapplied, or disputed payables items, and resolve those that require escalation.
Close, Controls, and Reporting
  • Own AP month-end close tasks on schedule, including posting AP journal entries, subledger-to-general-ledger reconciliation, accruals for received-not-invoiced and other unbilled expenses, aging review, and close documentation.
  • Design, maintain, and enforce AP internal controls, including approval authority, segregation of duties, duplicate payment prevention, and verification of vendor banking changes to prevent payment fraud.
  • Own year-end 1099 preparation and filing, and support sales and use tax compliance on purchases, as well as unclaimed property reporting, as applicable.
  • Prepare and present recurring AP reporting, including aging, DPO, and spend by vendor.
  • Maintain current AP policies, desk procedures, and documentation.
Systems and Process Improvement
  • Work daily in Odoo, Bill.com, and Excel; act as the AP subject-matter expert for system configuration, workflows, and approval routing.
  • Identify and lead process improvements and automation across invoice capture, approvals, and payments, including support for AP-related system implementations or upgrades.
  • Partner with Purchasing and Operations to strengthen the PO process and receiving practices that drive clean matching upstream.
Qualifications
Required
  • Five or more years of progressive accounts payable experience, including ownership of the full AP cycle.
  • Two or more years of experience supervising or leading AP staff.
  • Associate or bachelor's degree in accounting, finance, or business administration.
  • Hands-on experience with PO-based, three-way match AP in an inventory or manufacturing environment.
  • Working knowledge of AP internal controls, accrual accounting, month-end close, and 1099 reporting.
  • Strong Excel skills (pivot tables, lookups, large data sets) and hands‑on ERP experience.
  • Accurate under deadline pressure, with a track record of clean reconciliations and reliable close support.
  • Clear, professional written and verbal communication with vendors, leaders, and internal partners.
Preferred
  • Experience with Odoo and Bill.com, or with implementing AP automation tools.
  • Experience in manufacturing, consumer products, or another inventory-heavy business.
  • Familiarity with the firearms industry.
  • Experience with sales and use tax on purchases, unclaimed property, or multi-entity AP.
  • Experience documenting procedures, building controls from the ground up, or training others on AP processes.
What Success Looks Like

In this role, the person who thrives will:

  • Take ownership of the payables function and the cash going out the door rather than waiting for direction on it.
  • Develop the team so that work gets done right the first time, and step in personally when it needs to.
  • Be comfortable holding the line on approvals and controls with internal requesters while keeping vendor relationships strong.
  • Ask why a process exists before changing it, and then actually change it when the answer is weak.
  • Escalate early on real problems and handle routine ones without escalating at all.
First 90 Days
  • Days 1–30: Learn the vendor base, Odoo and Bill.com workflows, approval structure, and close calendar. Get to know the AP Specialist and AP Clerk and how work is divided between them today.
  • Days 31–60: Take over the weekly payment run, ownership of the vendor master and vendor scorecard, and the recurring Purchasing meetings. Complete a full month-end AP close with support, and assess current controls and backlog.
  • Days 61–90: Own AP close independently. Deliver a documented view of the AP process and controls, a team coverage plan, and at least one recommended process improvement.
Work Environment and Physical Requirements
  • Hybrid position (four days on-site) in a professional office environment; standard business hours with additional hours during month-end and year-end close.
  • Extended periods of computer and telephone work.
  • Must be legally eligible to work in the United States and able to pass a background check consistent with our industry and customer requirements.
