Job summary

Bluejack Ranch in Texas is seeking an Accounts Payable Coordinator to support the Finance department and ensure accurate processing of vendor invoices.

The role reports to the Controller, operates as an hourly non-exempt position, and involves closing daily AP tasks, managing payments, and maintaining SOPs. The schedule is Monday–Friday with occasional weekends as needed to match business demands.

Qualifications

  • High school diploma required; associate or bachelor’s degree in accounting, finance, or related field preferred.
  • Prior accounting experience in hospitality or high-end golf/country club is a plus.
  • Proficient in Microsoft Excel and other accounting software; NorthStar experience a plus.
  • Ability to communicate effectively and professionally with internal and external stakeholders.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and the ability to handle multiple tasks simultaneously.

Responsibilities

  • Handle vendor inquiries and ensure timely and accurate processing of vendor invoices.
  • Manage recurring payments and maintain the payment schedule for accurate financial reporting.
  • Record expenses and ensure proper allocation to the correct accounts and departments.
  • Process daily check runs and ensure proper separation of duties within cash disbursement processes.
  • Post and reconcile daily Accounts Payable transactions.
  • Follow up on outstanding or disputed invoices to ensure timely resolution and payment.
  • Perform reconciliation of accounts payable-related balance sheet accounts.
  • Enter and reconcile Club Holdings payables as part of the daily accounting process.
  • Reconcile outgoing payments and Club Holdings bank accounts to ensure accuracy.
  • Assist in creating and maintaining Accounting SOPs.
  • Bring a positive attitude and be ready to assist in various departments as needed.
  • Cross-train in Accounts Receivable and General Ledger functions to support the overall department.
  • Other duties as requested by Bluejack leadership.

Job Title: Accounts Payable Coordinator

Department: Finance

Directly Reports To: Controller

FLSA Status: Hourly Non-Exempt

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Handle vendor inquiries and ensure timely and accurate processing of vendor invoices.

Minimum Qualifications (Knowledge, Skills, and Abilities)

EDUCATION:

High school diploma required, associate or bachelor’s degree in accounting, finance, or a related field preferred.

APPROXIMATE SCHEDULE AND HOURS:

Monday through Friday, weekends as needed, schedule flexible as business dictates.
