Job Description

Position Summary

The Project Account Administrator II is responsible for planning and performing accounting functions that conform to current approval policies and procedures. Daily interaction with company personnel, managers, clients, and vendors is expected. This role will interface with Project Directors/ Managers, project staff, and CRB management to ensure all key controls around invoice processing, expense reporting, client invoicing, and collections/ accounts payable comply with company requirements. Attention to detail, a high level of accuracy, and adherence to deadlines is essential. An ability to work within established deadlines during the financial period is essential. This individual should work well within a team-like atmosphere and communicate effectively.

Responsibilities

  • Effectively manage difficult clients and vendors
  • Navigate complex projects and find creative solutions
  • Offer training support the project managers, or leaders in the business
  • Support project teams in client audits when needed
  • Plan and perform accounting functions that conform to current approval policies and procedures
  • Daily interaction with company personnel, managers, clients, and vendors
  • Check for required vendor information prior to invoice submissions
  • Quality check all vendor invoices for proper information and contract adherence
  • Correspond with vendors and project team to resolve invoicing disputes
  • Enter invoices & pay applications in the project management software workflow
  • Support in set up of new vendor accounts
  • Analyze and follow up on vendor statements and audit for missing invoices
  • Answer payment inquiries from vendors, project managers and administration staff
Qualifications

Minimum Qualifications

  • Minimum of two years of related experience

Additional Qualifications

  • Excellent written and verbal communication skills
  • Experience with Microsoft D365 software a plus
  • Must be comfortable working to established deadlines during financial periods
  • Outstanding attention to detail and high level of accuracy should be maintained
  • Knowledge of basic financial/accounting/administrative duties
  • Preferred familiarity with training and mentoring
