Job summary

Palmer Food Services in Rochester, NY is seeking an Accounting Specialist to handle accounts payable, accounts receivable, and general accounting duties. The role requires an associate degree in accounting or a related field, strong Excel/Outlook skills, attention to detail, and the ability to manage multiple priorities in a confidential environment.

Qualifications

• Associate's degree in Accounting, Finance, Business Administration, or related field or equivalent combination of education and experience.
• Experience with bank reconciliations and researching reconciling items is preferred.
• Proficiency in Excel and Outlook is required.
• Strong attention to detail, organizational, analytical, and problem-solving skills are essential.
• Ability to manage multiple priorities and meet deadlines; maintain confidentiality.

Responsibilities

• Process vendor invoices accurately and timely.
• Match invoices to purchase orders and receiving docs; resolve discrepancies.
• Maintain vendor records and respond to vendor inquiries.
• Prepare weekly check runs, electronic payments, and other disbursements.
• Reconcile vendor statements and balances; ensure proper coding per policies.
• Support invoicing, payment application, and customer setup; assist with credit balances and adjustments.
• Perform account reconciliations and participate in month-end/year-end closing; assist audit requests.

Roles and Responsibilities:

• Perform the packaging operation to ensure the product meets the specifications providing efficient storage and shipment

Accounts Payable

• Process vendor invoices accurately and timely.
• Match invoices to purchase orders and receiving documentation.
• Collaborate across departments to research and resolve invoice discrepancies and payment issues.
• Maintain vendor records and respond to vendor inquiries.
• Prepare weekly check runs, electronic payments, and other disbursements.
• Reconcile vendor statements and outstanding balances.
• Ensure proper coding of invoices and adherence to company policies.

Accounts Receivable

• Support invoicing, payment application, and customer setup.
• Assist with the analysis of credit balances, write-offs, and account adjustments in accordance with company policies.

General Accounting

• Perform account reconciliations and investigate discrepancies.
• Assist with month-end and year-end closing activities.
• Assist with audit requests and provide supporting documentation.
• Prepare reports, spreadsheets, and analyses as requested by management.
• Ensure compliance with internal controls and accounting procedures.
• Maintain & update vendor database.
• Support special projects and continuous improvement initiatives within the Accounting Department.
• Perform other duties and responsibilities as assigned.

Minimum Qualifications

• Associate's degree in Accounting, Finance, Business Administration, or a related field; or an equivalent combination of education and relevant work experience.
• Demonstrated experience performing bank reconciliations and researching reconciling items.
• Proficiency in Microsoft Excel and Outlook.
• Strong attention to detail and accuracy.
• Excellent organizational, analytical, and problem-solving skills.
• Ability to manage multiple priorities and meet deadlines.
• Strong verbal and written communication skills.
• Ability to maintain confidentiality and handle sensitive financial information.
• Team-oriented with a proactive mindset.

Salary:

• $24.00- $26.00/ a hour

Shift:

• Monday- Friday 7:30 AM- 4:30 PM
