Job summary

Job description

The Accounting Specialist works closely with the Accounting Supervisor, Finance team, and operating departments to process transactions, resolve questions, maintain documentation, and support accounting projects. Assignments and priorities may change with business needs; the position requires flexibility, accuracy, teamwork, and willingness to learn.

Essential Duties and Responsibilities

General Ledger and Financial Reporting

• Record and maintain accurate financial transactions in the general ledger.
• Prepare routine journal entries and accounting adjustments as assigned, with appropriate review and training.
• Assist with reconciliations of assigned general ledger accounts and research discrepancies.
• Assist with monthly, quarterly, and annual financial close activities.
• Prepare supporting schedules and documentation for financial statements and management reports.
• Review transactions for accuracy, completeness, appropriate account coding, and proper supporting documentation.
• Assist with financial statement support and reporting in accordance with company procedures and appropriate supervision.
• Maintain organized accounting records and supporting documentation.

Accounts Receivable and Cash Management

• Support customer account maintenance, credit applications, cash application, customer invoices, and accounts receivable reconciliations as assigned.
• Monitor outstanding receivables and assist with follow‑up on past‑due customer accounts.
• Research and resolve customer account discrepancies, unapplied cash, and payment issues.
• Maintain accurate customer account records.
• Assist with cash activity tracking, bank reporting, and cash transaction reconciliation.

Tax Compliance and Audit Support

• Support tax reporting and other compliance activities as assigned.
• Assist with internal and external audit requests by gathering documentation and preparing schedules.
• Identify potential errors, control concerns, or process improvements and communicate them to the Accounting Supervisor.

Account Reconciliations

• Prepare assigned accounts reconciliations with guidance and review as appropriate.
• Investigate reconciling items and ensure outstanding issues are resolved promptly.
• Identify unusual transactions, discrepancies, or potential errors and communicate findings to the Accounting Supervisor.
• Maintain appropriate documentation to support account balances and transactions.

Other Accounting Tasks

• Assist with cost accounting and inventory reconciliations.
• Prepare assigned financial schedules, analysis, and reports.
• Perform other accounting, finance, reporting, administrative, and cross‑functional support duties as assigned based on business needs and changing team priorities.
• Provide day‑to‑day accounting and administrative support to Sales, Operations, Customer Service, and other departments, including research, documentation, transaction follow‑up, and resolution of routine financial questions.
