This position is responsible for performing a broad range of accounting, bookkeeping, and administrative functions that support the financial operations of the Corps and related programs. The role manages accounts receivable and accounts payable activities, including processing invoices, payments, deposits, purchase orders, and financial transactions while ensuring accuracy and compliance with established procedures. The position maintains financial records and general ledger data, assists with budget preparation and financial reporting, reconciles accounts, and supports regulatory and funding reporting requirements. Additionally, the incumbent maintains organized financial files, responds to account inquiries, processes incoming and outgoing mail, provides clerical support for special projects, and serves as a key resource in ensuring the timely, accurate, and efficient administration of the organization’s financial operations.


Key Responsibilities


  • Process and manage accounts receivable and accounts payable transactions, including invoices, payments, purchase orders, requisitions, checks, and deposits.

  • Receive, record, reconcile, and deposit cash receipts while maintaining accurate financial records.

  • Enter and maintain financial data in SAGE and other accounting systems.

  • Review financial documents for accuracy, completeness, and compliance with established procedures.

  • Monitor account balances and maintain organized accounting and financial files.

  • Research, reconcile, and resolve accounting discrepancies and account issues.

  • Prepare financial reports, spreadsheets, statistical reports, and supporting documentation.

  • Assist with the development and monitoring of Corps and Thrift Store budgets in collaboration with leadership and DHQ Finance.

  • Compile and process information for United Way reporting, annual funding requests, and other required financial reports.

  • Maintain general ledger records and apply appropriate coding to financial transactions.

  • Manage records related to capitalization and disposal of Salvation Army property and assets.

  • Respond to account inquiries and prepare correspondence regarding financial matters in a professional manner.

  • Process incoming and outgoing mail and ensure timely distribution of financial documents.

  • Maintain accurate records for donors, clients, inventory, expenditures, billings, and statistical data.

  • Provide clerical and administrative support for special projects and departmental initiatives.

  • Cross-train and provide backup support for other administrative and clerical functions as needed.


Physical Requirements and Working Conditions


  • Ability to sit for extended periods while performing accounting and administrative duties.

  • Ability to stand and walk occasionally throughout the workday.

  • Ability to lift, carry, and move light objects and office materials weighing up to 25 pounds.

  • Ability to operate standard office equipment, including computers, calculators, telephones, printers, and copiers.

  • Ability to perform repetitive tasks such as data entry, filing, reviewing documents, and handling financial records.

  • Ability to maintain focus and accuracy while managing multiple priorities and interruptions.

  • Work is primarily performed in a climate-controlled office environment.

  • Regular use of computers, financial software, and other office technology.

  • Minimal exposure to noise, dust, dirt, or adverse weather conditions.

  • Frequent interaction with employees, donors, clients, vendors, and community partners.

  • Work requires attention to detail, confidentiality, and adherence to established accounting and financial procedures.

  • May occasionally be required to assist with special projects, mail processing, and other administrative support functions as assigned.


Qualifications

Licenses and Certifications
