Job summary

Northern Virginia Transportation Authority (NVTA) is seeking an Accounting Assistant to join our finance team. This hybrid role supports accounts payable, reconciliations, financial recordkeeping, and reporting, contributing to critical transportation programs in Northern Virginia.

  • Four (4) years of accounting, bookkeeping, or financial support experience; local government or public-sector experience is preferred.
  • Working knowledge of accounting principles and financial recordkeeping practices.
  • Experience with accounts payable, account reconciliations, and financial reporting.
  • Proficiency with Microsoft Excel and Microsoft Office; experience with financial management or ERP systems is preferred.
  • Strong organizational, analytical, and customer service skills with attention to detail.

Responsibilities

  • Serve as the primary record keeper and reconciler for corporate credit cards, transit accounts, toll devices, and other prepaid accounts.

  • Support annual financial audits and financial reporting activities by preparing and organizing supporting documentation.

Description

The Northern Virginia Transportation Authority (NVTA) is seeking a detail-oriented and motivated Accounting Assistant to join our team. This is an excellent opportunity to build your accounting career while contributing to transportation investments that improve how people live, work, and travel throughout Northern Virginia.

Experience a quiet, professional office setting, just steps from the Metro. NVTA offers a hybrid schedule, currently allowing remote work on Mondays and Fridays (subject to change). Attendance at a monthly evening meeting is required. NVTA has been designated as a Best Workplace for Commuters with offices located near major highways (I-66 and I-495), the Dunn Loring Metro Station (Orange Line), and a commuter bus lot served by Fairfax Connector and Metrobus. Employees can also access the nearby W&OD and I-66 active transportation trail.

In this role, you’ll support a variety of accounting and financial operations that help keep NVTA running efficiently and responsibly. Working as part of a collaborative finance team, you’ll assist with accounts payable, reconciliations, financial recordkeeping, reporting, and other day-to-day accounting functions that support the delivery of critical transportation programs.

Responsibilities
Specific Responsibilities

Accounting and Financial Support

  • Process accounts payable transactions, including invoice verification, payment processing, and maintenance of related accounting records.
  • Serve as the primary record keeper and reconciler for corporate credit cards, transit accounts, toll devices, and other prepaid accounts.
  • Review employee reimbursement requests for completeness, accuracy, and compliance with NVTA policies and procedures.
  • Assist with monthly, quarterly, and year-end close activities, including account reconciliations and supporting schedules.
  • Maintain fixed asset records and assist with asset tracking and documentation.
  • Review, track, and maintain documentation for IRS Form 1099-reportable transactions.
  • Support annual financial audits and financial reporting activities by preparing and organizing supporting documentation.

Project Reimbursement and Jurisdictional Support

  • Review project reimbursement requests for compliance with NVTA policies, procedures, and funding requirements.
  • Monitor and log incoming reimbursement submissions, maintain tracking records, and ensure documents are properly stored in designated network locations.
  • Assist with the disbursement of funds to member jurisdictions for monthly revenue allocations and approved project reimbursements.
  • Support the annual certification process by distributing certification letters, tracking responses, issuing reminders, and maintaining submission records.
  • Assist with the coordination of Application and Standard Project Agreement (SPA) updates between the Finance and Transportation Planning teams.

Administrative and Operational Support

  • Maintain accounting records and supporting documentation in accordance with records retention requirements and established internal controls.
  • Maintain and update jurisdictional and agency contact lists and email distribution groups.
  • Coordinate with vendors and service providers regarding invoices, payments, and related financial matters.
  • Support the coordination and logistics of monthly Finance Committee meetings.
  • Maintain and enhance accounts payable checklists, standard operating procedures (SOPs), and other process documentation.
  • Perform data entry and other recordkeeping functions related to financial and administrative operations.

NVTA staff currently work in the office on Tuesdays, Wednesdays and Thursdays, with the remaining portion of the week working remote. Each employee has an individual hard walled office.

Work will typically be performed in a quiet, office environment. Support to Authority (and potentiallycommittee) meetings will be in a public meeting environment. Authority and committee meetings are often conducted during evening hours. Attendance at other regional evening meetings may be required. During periods of public engagement, evening and weekend work may be required.
