Accounting Assistant - Make Every Dollar Count for People Who Need It Most

Philadelphia, PA | On-Site

Put your accounting skills to work in mental health care

You’ll be the backbone of a small accounting team that manages participant cash accounts for some of the most vulnerable people in the behavioral health system.

Every voucher you process, every bill you pay, every record you update directly protects someone’s housing, medication, and daily needs.

You’ll support the Representative Payee Accounting Department and Operations Office with hands‑on work: processing vouchers and checks, handling Social Security mail, organizing accounts payable files, and tracking cash disbursements on spreadsheets.

If you’re detail-focused, numbers‑savvy, and want your daily work to actually help people, we want to talk to you.

What You'll Work On

You’ll keep the financial side of participant care running smoothly by supporting core accounting and administrative functions:

  • Participant cash and benefit accounts
  • Cash disbursement vouchers and tracking spreadsheets
  • Pharmacy and utility bill processing
  • Check preparation and signatures in a computerized accounting system
  • Accounts payable filing and invoice records
  • Social Security entitlement mail and updates
  • Cash receipts documentation and deposits
  • Supply room inventory and distribution

You’ll be working with word processing, spreadsheets, and a computerized accounting system to keep everything accurate and on time.

The challenge: make complex, high-volume details look simple and seamless for the teams and participants who rely on you.

What You'll Be Doing
  • Processing vouchers and obtaining receipts for cash distributions
  • Processing pharmacy and utility bills and generating checks in a computerized accounting system
  • Preparing vouchers, generating checks, obtaining signatures, and entering all expenditure data
  • Handling all Social Security mail and distributing copies and entitlement updates to teams and CM staff
  • Recording participant entitlement, benefit, and pharmacy information accurately and timely in agency systems
  • Organizing and filing financial documents, including accounts payable, accurately and on schedule
  • Maintaining files of paid invoices and responding to inquiries on payment status and voucher discrepancies
  • Entering data, retrieving records, and generating reports as needed
  • Assisting in preparation of deposit slips and copying all supporting documentation for cash receipts
  • Coordinating timely calls and arrangements with armored car service for deposits
  • Helping manage the supply room, including distribution of supplies when requested
  • Attending required in-service meetings and participating in additional trainings as directed
What We're Looking For
  • Bachelor’s degree or High School diploma/equivalency with two (2) years of accounting experience
  • Hands‑on experience with accounting tasks such as vouchers, payables, or cash receipts
  • Computer literacy, including word processing and familiarity with spreadsheets
  • Good arithmetic and computational skills with strong attention to detail
  • Clear verbal and written communication skills and ability to work well with people
  • Comfort with office machines, switchboard, and general office equipment
  • Ability to work independently, be flexible, and adapt to changing priorities
  • Ability to sit for at least one (1) hour at a time and lift/carry up to 20 lbs. of office supplies
  • Ability to maintain confidentiality with Protected Health Information (PHI)
  • Willingness to complete required criminal, FBI, and child abuse background checks
Why This Opportunity?

This isn’t anonymous back-office work. Your accounting support directly affects whether vulnerable participants have stable access to money, medication, and essential services.

You’ll get broad exposure across the organization, working with internal staff, service providers, and vendors while supporting a mission-driven behavioral health program.

If you’re looking for meaningful, steady accounting work where accuracy and reliability really matter, this role gives you that impact every single day.

This role is based on-site in Philadelphia, PA.

Criminal, FBI, and Child Abuse background checks are required.

Role involves access to Protected Health Information (PHI) at a medium security level.
