Overview
Location: Paoli, PA (Hybrid Flexibility)
Our client is a multifaceted real estate powerhouse specializing in brokerage, debt and equity placement, and property ownership. With three established entities and a new development arm on the horizon, they are seeking a mature, highly organized, and discreet financial professional to manage the accounting operations for their corporate entities, a growing portfolio of 12 properties, prepare financial statements, partner distributions and keep real estate files organized.
This is a stable, long-term role designed for a professional who values autonomy and consistency.
Responsibilities
- Corporate & Property Accounting
- Daily/Weekly: Process accounts payable/receivable, manage expense reimbursements, and monitor cash balances across multiple entities to ensure sufficient funding.
- Monthly: Perform bank and credit card reconciliations; prepare comprehensive monthly financial statements (Balance Sheet, P&L, Cash Flow) including Actual vs. Budget analysis.
- Real Estate Management: Maintain organized files for property assets (loan documents, closing statements, and refinancing schedules); review property-level financials and prepare partner distributions.
- Tax & Audit: Assist outside accountants with quarterly tax estimates and annual tax returns; prepare 1099s and compile documentation for 401(k) records and workers’ compensation audits.
- Budgeting: Develop annual budgets and update pro forma projections throughout the fiscal year.
- Executive Financial Management (Family Office Style)
- Financial Tracking: Maintain and update Personal Financial Statements (PFS) quarterly; track personal investment performance across various funds, stocks, and real estate holdings.
- Documentation: Organize and manage a secure digital repository (Dropbox) for tax returns, insurance policies, estate planning documents, and K-1s.
- Administrative Coordination: Liaise with personal bankers for wire transfers and account management; coordinate with attorneys and accountants regarding estate planning and personal legal matters.
- Efficiency Oversight: Identify and eliminate unnecessary dues/subscriptions; recommend improvements for tax and interest efficiencies.
Qualifications
- Experience: Substantial experience in full-charge bookkeeping or corporate accounting. A background in Real Estate (student housing, development, or property management) is highly preferred.
- Discretion: Proven ability to handle highly sensitive personal and corporate financial information with absolute confidentiality.
- Organization: Expert-level organizational skills with the ability to manage complex filing systems and stay ahead of payment/refinancing schedules.
- Technical Skills: Proficiency in accounting software and digital document management (Dropbox/Secure portals).
- Character: A mature professional who is self-directed, detail-oriented, and looking for a stable, long-term home.
- Office: Located in Paoli, PA.
- Schedule: Hybrid flexibility. While some in-office presence is required as needed, we value results over "desk time" and offer significant flexibility once the candidate is fully onboarded.
