Job description

The location of this position will be in the following county: Kanawha.

Requirements for this position include but are not limited to:
A valid driver’s license or a valid state ID and dependable transportation are required.
Regular attendance is an essential part of this position.

Job Duties:

Monthly Billing tasks will include auditing and compiling a variety of spreadsheets from multiple internal teams, using both Excel with pivot tables and Google Sheets. Add any missing information and collaborate with the various teams within our agency to obtain additional info. Use the files to complete the monthly upload into our billing system and respond to various customer questions.

Communicate with agencies through email, phone and face-to-face correspondence on billing questions, billing backup and disputes.

Review and audit all travel reimbursement requests of the WV Office of Technology employees through WV Oasis. Complete to authorize payment for the transactions. Utilize both the state travel regulations and federal travel regulations to ensure they are correct before submitting into the workflow for approvals. Reach out to travelers as needed to help make corrections.

Serve as a Fleet Co-Coordinator for the WV Office of Technology. Track all aspects of the agency fleet. Pull reports or create reports as needed. Complete agency requests to the WV Fleet Division and review and approve required WV Fleet forms by due dates. This position will also review all invoices related to the agency fleet cost and add the correct fund string to be used during payment.

Responsible for reviewing and auditing all agency P-card transactions in WV Oasis to ensure they follow state regulation for documentation and approvals and mark the transaction as Reviewed and Paid by the State's Due Date of Payment. It is also the responsibility of the accountant that the correct fund string is being used.

Complete the agency's Fixed Assets in WV Oasis by running reports and gathering information to align with the State's Fixed Asset requirements, complete before deadline. Work with the OT Surplus team to ensure there are asset tags assigned. Review assets retired and complete any modification documents.

Review and assist to resolve all invoice issues as they relate to contract commodities and pricing.

Attend meetings with or on behalf of the manager, as directed.

Update supervisor as needed on projects, including correspondence and any issues/proposed resolution provided by WVOT staff, other agencies, vendors, etc.

Other duties as assigned.

Training:Bachelor's degree from an accredited college or university with at least 24 semester hours in accounting.

AND

Experience:One (1) year of full-time or equivalent part-time paid professional experience in accounting, statutory accounting or auditing work.

OR

Substitutions:(1) Graduate coursework in accounting may substitute at a rate of 15 semester hours for one (1) year of the required experience. (2) Certification or registration as a Public Accountant in West Virginia may be substituted for the training and required experience.

NOTE:At the appointing agency’s discretion, competitive candidates may receive probationary appointment pending official verification of the qualifying training or certification. The qualifying training or certification must be verified before the employee may be certified permanent.
