Job summary

Fairweather is seeking an Accountant to support the Senior Accountant in daily billing, collections, and financial analysis. The role prepares and tracks customer invoices and reconciles accounts.

This full-time position requires a Bachelor’s degree in accounting or finance and at least five years of experience, with strong Excel, Word, and accounting systems skills. The team emphasizes accuracy, confidentiality, and timely financial reporting.

Qualifications

Responsibilities

  • Prepare customer invoices from project data, timesheets, cost codes, and rate schedules.
  • Audit invoice support before release and flag exceptions for review.
  • Apply contract rates and route invoices for review.
  • Maintain a billing log and update billing activity in the accounting system.
  • Monitor accounts receivable aging and follow up on past-due balances.
  • Apply cash receipts to invoices and reconcile batches.
  • Escalate disputed items and assist with resolution.
  • Compile data for monthly project profitability reports and drafts for review.
  • Assist with account analysis and linking amounts to the general ledger.
  • Prepare routine bank and account reconciliation support and post standard journal entries.
  • Maintain financial records and workpapers, and build Excel workbooks for summaries.

Job Summary

The Accountant position supports the Senior Accountant in day-to-day accounting operations, with primary responsibility for billing, collections, and routine financial analysis. This role prepares and tracks customer invoices, follows up on outstanding receivables, and compiles project and account data used in monthly reporting. Work is performed under the direction of the Senior Accountant, who reviews exceptions, rate questions, and items requiring judgment beyond established procedures.

Hours and Operation

  • This is a full-time position. Monday–Friday, 8:00 a.m.–5:00 p.m.
  • Extended hours may be required as job duties demand, as approved by the Senior Accountant or Controller.

Essential Duties and Responsibilities

Billing

  • Prepare customer invoices from approved project data, timesheets, cost codes, and rate schedules.
  • Audit invoice support before release, including quantities, rates, approval signatures, and appropriate cost codes, and flag exceptions for the Senior Accountant.
  • Apply contract and agreement rates provided by the Senior Accountant; escape rate questions rather than independently interpreting contract terms.
  • Route completed invoices and backup for review and prompt issuance, and maintain an organized billing log.
  • Enter and update billing activity in the computerized accounting system.

Collections

  • Monitor accounts receivable aging and identify past-due balances.
  • Issue routine collection notices and follow up with customers on outstanding invoices, documenting contacts and promised payment dates.
  • Apply cash receipts to open invoices and reconcile receipt batches to bank activity under review.
  • Escalate disputed, aged, or high-dollar items to the Senior Accountant, and support resolution by gathering invoice backup and correspondence.

Financial analysis and accounting support

  • Compile data for monthly project profitability reports and prepare draft schedules for Senior Accountant review.
  • Assist with account analysis, including pulling support, tying amounts to the general ledger, and noting variances.
  • Prepare routine bank and account reconciliation support and clear straightforward reconciling items.
  • Prepare standard journal entries for review and posting; do not post entries outside assigned authority.
  • Maintain, organize, and update financial records and workpaper files.
  • Build and update Excel workbooks using formulas, lookups, and pivot tables to summarize billing, collections, and project results.
  • Use data and established procedures to complete assigned work, recognize issues, and inform the Senior Accountant of items that need correction.
  • Meet deadlines, organize work materials, and manage time effectively.
  • Other duties as assigned.

Work Environment

  • This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, and scanners.

Physical Demands

  • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary.

Minimum Qualifications

  • Bachelor’s degree in accounting or finance, or current enrollment in a relevant degree program with substantial accounting coursework completed. An associate degree in accounting plus relevant experience may be considered.
  • 5+ years of experience in accounting, finance, billing, or a related field. Internships, co-ops, and accounts payable or accounts receivable experience count.
  • Demonstrated working proficiency in Excel, Word, and Adobe.
  • Strong verbal and written communication skills.
  • Experience using, or demonstrated ability to learn, a computerized accounting system.
  • Foundational knowledge of accounting processes, including invoicing, receivables, journal entries, and reconciliations.

Preferred Qualifications

  • Exposure to Oracle NetSuite or a comparable accounting system.
  • Coursework or introductory experience in project accounting, job costing, or construction/professional-services billing.
  • Experience with collections follow-up or cash application.
  • Progress toward an accounting credential, or interest in pursuing one.
