Responsibilities

• Schedule agendas, run weekly ideation and pre-production calls, document next steps
• Track feedback and requests, ensuring alignment and timely delivery
• Coordinate pre-production calendars, scouting, location access, and on-site coordination
• Oversee post-production workflows, feedback consolidation, and multi-version delivery
• Maintain Asana as the single source of truth and ensure clean handoffs between teams

About CXE

Creative x Entertainment is a Miami media and creative agency. We concept, shoot, and finish brand campaigns, commercials, and content for brands across industries, and we build the creative that powers their media plans.

The Role

You will run one of our accounts from campaign kickoff through final delivery to the media team. You are the client's main point of contact and the person our producers, editors, and leadership rely on to keep every campaign moving. Our executive team stays on as executive producers while you own the day to day.

Our accounts move fast. They are large organizations with multiple stakeholders, so if you like running the show and always entering the day with new challenges, this is the kind of job for you! The job is to absorb that intensity so the client experiences calm, organized, proactive service and our team experiences a clean process.

What You Will Own

• Client leadership
• Serve as the main point of contact for the client's marketing, creative, and project management teams
• Send agendas two days ahead, run weekly calls during ideation and pre-production, and follow every meeting with clear next steps, owners, and dates.
• Turn feedback into action and track every request so the client never has to ask twice
• Read the room: know when to ask for a decision and when to send a clear plan and follow up
• Flag scope, budget, media, and contract questions to internal leadership early

Pre-production

• Build production calendars with real buffers for client review
• Coordinate scouts, location access, and on-site contacts for every shoot
• Lead production, source all necessary aspects of the production and ensure it all gets done.
• Oversee, manage, and book voiceover sessions
• Partner with our line producers on crew, logistics, and run of show

On set

• Be on location for every shoot
• Sit with the client teams, capture notes, and solve issues before they reach the crew
• Keep client communication steady and clear while production works

Post-production

• Consolidate client notes into organized, editor-ready feedback
• Assign and track edits in Asana, route cuts through internal creative review, and share rounds in Frame.io
• Manage English and Spanish versions through color, sound mix, social versioning, and final delivery to our media partner

Operations

• Keep Asana as the single source of truth so any teammate can step in at any time
• Capture meeting notes and turn them into tasks the same day
• Keep files, folders, and trackers clean

Who You Are

• 3+ years at a creative agency or production company, producing shoots and managing projects from kickoff to delivery
• A track record with high-stakes clients and creative deliverables: commercials, campaigns, and content with real budgets, many approvers, and fixed launch dates
• Composed under pressure, and it never shows in your emails or at work
• Proactive by default: you anticipate needs, set your own reminders, and flag gaps before anyone asks
• A clear, warm, concise writer
• Organized enough that a teammate could pick up your work tomorrow without a handoff call
• Fluent in Asana (or similar), Frame.io, and Google Workspace
• Bilingual in English and Spanish strongly preferred

Compensation

Monthly retainer to start. Clear path to a full-time role, plus performance bonuses. Compensation is discussed during interviews.
