Job summary

Baylor Scott & White Health is seeking a Scheduling Specialist to coordinate outpatient diagnostic procedures, validate orders, and collect patient demographics and insurance information. You will contact patients and providers to schedule procedures and ensure accurate data entry.

The role requires strong communication, attention to detail, and the ability to manage multiple scheduling tasks in a fast-paced healthcare environment.

Qualifications

  • Education requirement: HS Diploma or GED equivalent.
  • Experience: Less than 1 year.
  • Proficiency with Microsoft Office and basic data entry.

Responsibilities

  • Contacts patients or providers for outpatient diagnostic procedures.
  • Contacts patients to schedule outpatient diagnostic procedures.
  • Collects patient demographic and insurance information during scheduling call.
  • Validates insurance is in network with the provider.
  • Compiles patient information such as diagnosis, reason for procedure, medications, allergies and other applicable information prior to scheduled procedure.
  • Monitors inbound orders to ensure validation and proper routing and timely scheduling.
  • Notifies affected departments of schedule changes to ensure readiness.
  • Meets telephone system metrics and department productivity standards.

Job Summary

The Scheduling Specialist schedules outpatient diagnostic procedures like radiology and imaging. They validate outpatient orders and capture patient demographic and insurance information.

Essential Functions of the Role
  • Contacts patients or providers for outpatient diagnostic procedures.
  • Contacts patients to schedule outpatient diagnostic procedures.
  • Collects patient demographic and insurance information during scheduling phone call with provider or patient.
  • Validates insurance is in network with the provider.
  • Compiles patient information such as diagnosis, reason for procedure, medications, allergies and other applicable information prior to scheduled procedure.
  • Monitors inbound orders to ensure validation and proper routing. This ensures patients are contacted promptly to schedule procedures.
  • Contacts department affected by schedule adjustments to ensure patient is prepared and necessary personnel and equipment are available.
  • Meet telephone system metrics and department productivity standards. This includes call length, answer time, and number of calls taken in a specific period.

  • Requires good listening, interpersonal and communication skills, and professional, pleasant and respectful telephone etiquette.
  • Maintain a professional demeanor in a stressful, emotional environment with behavioral health and suffering patients, including life/death situations.
  • Must exhibit high empathy and communicate well with patients and families during trauma. Demonstrate exceptional customer service skills.
  • Demonstrates ability to manage multiple, changing priorities in an effective and organized manner.
  • Excellent data entry, numeric, typing and computer navigational skills.
  • Basic computer skills and Microsoft Office.
