Position Description: PMP’s Access Coordinator is primarily responsible for maintaining all access devices and programs and managing and overseeing moves. This position is responsible for multiple inquiries including (but not limited to) Moves, Gates, and Clubhouses inquiries and billing and other HOA/property management-related tasks. This position will also be the first point of contact at our front desk.

Responsibilities & Duties:
  • Demonstrates courteous, friendly, respectful, and cooperative behaviors towards others.
  • Supports and participates in activities that promote customer services.
  • Acknowledges members/guests immediately upon entering the work area. Makes sure each person checks in at the Front Desk. Handles member issues then they appear on the computer screen.
  • Courteously, accurately, and efficiently answers the telephone. Directs phone inquiries to identify staff if necessary.
  • Reports member issues to the General Manager.
  • Communicates and follows the organizational chain of command for notification of member/staff services issues, when appropriate.
  • Exhibits good communication and listening skills. Speaks clearly and actively listens.
  • Able to work with diverse populations under difficult and stressful situations. Supports the team approach.
  • Utilizes positive and constructive criticism to improve overall performance. Has a positive attitude.
  • Participates in operational duties as necessary including sales promotion, and tours of the facility. Facility safety checks, office supply checks, etc.
  • Cleaning responsibilities for the front desk area.
  • Clubhouses: Book, track applications, collect funds, distribute keys, coordinate janitorial and/or security and refund deposits
  • Moves: Book, track applications, collect funds, coordinate with security, and refund deposits
  • Travel to communities to oversee moves as needed
  • Billing: log all moves, clubhouses, and welcome packages for monthly billing
  • Maintain all access devices, program and distribute
  • Run access device reports for Community Managers as requested
  • Manage and maintain all directories including processing changes, additions, and set up new communities
  • Create developer welcome packages as requested
  • Process escrow ownership changes for Community Managers as requested
  • Manage entry systems and troubleshoot login issues for homeowners on Gatekey
  • Process all board member reimbursements
  • Maintain website guest lists
  • Assist all clients (homeowners, vendors, board members & fellow employees) in a professional and friendly manner
  • Access device inventory and organization
  • Special projects & tasks as assigned
  • Other duties as assigned
Education & Experience:
  • High School Diploma or GED required
  • A drive to provide extraordinary customer service

  • Accepts guest and other fees. Accounts for daily receipt totals when closing at the end of the shift.
The employee must be able to:
  • Stand and walk for extended periods throughout the workday.
  • Frequently bend, stoop, kneel, crouch, climb, reach, twist, and squat.
  • Frequently use hands and arms for grasping, handling, pushing, pulling, and operating equipment.
  • Lift, carry, push, and pull up to 50 pounds on a regular basis.
  • Safely operate cleaning equipment, hand tools, ladders, and maintenance equipment.
  • Work both indoors and outdoors in varying environmental conditions.
  • Maintain sufficient visual acuity and hearing to identify safety hazards and perform assigned duties safely.
