POSITION SUMMARY

The Office Assistant will perform a range of critical office support activities for the company, such as answering phones and directing calls, greeting and directing visitors, managing files, updating paperwork and other documents, and performing other general office duties and errands. The position will prepare communications, organize timelines and deadlines, and execute reports and special projects as needed.

REQUIREMENTS, ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Perform data entry, filing, scanning, and photocopying tasks.
  • Maintain common office areas, ensuring the facility is always organized, clean, and professionally maintained.
  • Streamline office systems, including organizing filing systems, and maintain office equipment.
  • Greet and welcome visitors in a professional and courteous manner.
  • Assist visitors with inquiries and provide necessary information or assistance.
  • Answer phones and communicate relevant information to the appropriate parties.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Assist in the organization of office events and celebrations.
  • Exhibit exemplary attendance and punctuality.
  • Comply with company policies and procedures.
  • Perform other duties as assigned.
  • Knowledge of administrative and office procedures and systems such as work processing, managing files and records, designing forms, and workplace technology.
  • Knowledge of principles and processes for providing customers and personal services. This includes customer needs assessment, meeting quality standards, and evaluation of customer satisfaction.
  • Develop constructive and cooperative working relationships with others and maintain them over time.
  • Effectively provide information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail or in person.
  • Excellent communication and organizational skills.
  • Ability to maintain a neat and organized reception area.
  • Ability to work effectively in a team environment.
  • Must exhibit excellence in Customer Service with all customers.
  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • A High School diploma or equivalent GED is required.
  • Previous experience in office support, customer service, or administrative roles is preferred.
  • Previous experience in property management and knowledge of the neighborhood permit approval process is highly preferred.
  • Reliable transportation, a valid driver’s license, and an insurable driving record are required.
Physical Demands and Work Environment

Hand-eye coordination is necessary to operate computers and various pieces of office equipment. Duties are typically performed in an office environment. The work environment is usually a well- lit environmentally controlled indoor environment with a moderate level of noise. This is a full-time position, Monday through Friday, 8:00am to 5:00pm. Work hours may vary depending on operational activities and required duties; evening and weekend work may occasionally be required. Travel is an essential function of the role.
