Job summary

Spring Arbor University is seeking a part-time Administrative Assistant to support the School of Communication, Media, and Fine Arts, the School of Humanities, and the Gainey School of Business.

The role runs 12 hours per week from mid‑August through May, with limited hours from late May to mid‑August, up to 625 hours per year. Responsibilities include general office duties, coordinating classroom usage, events, and supporting deans and faculty.

Qualifications

  • Some college credit is required.
  • Proficient in MS Word and Outlook, basic knowledge of Excel, and general comfort with computer software programs.
  • Administrative experience and/or training preferred.
  • Ability to prioritize, complete multiple tasks, and possess good interpersonal, communication, and writing skills.
  • Good organizational skills and attention to detail.

Responsibilities

  • Maintain office duties including supplies and a welcoming space.
  • Serve as the main point of contact for classroom usage and needs at Sayre Decan Hall.
  • Assist with organizing school events, including purchasing and setup.
  • Provide general administrative support to the deans of CMFA, Humanities, and Business.
  • Process requests for payments through university processes, including expenses and credit card reconciliation.
  • Order desk copies of textbooks and distribute course materials to adjunct faculty.
  • Assist with annual campus events and student research symposium as needed.
  • Assist with program assessment information and commencement activities.

Provides administrative support and assistance to accomplish the various tasks needed for the smooth operation of the School of Communication, Media, and Fine Arts, the School of Humanities, and the Gainey School of Business.

Part-Time, (12 hours/week) from mid-August through the end of May; with limited hours from late-May to mid-August; Max of 625 hours annually.

Essential Duties And Responsibilities
  • Responsible for general office duties including but not limited to maintaining office supplies and ensuring a welcoming and professional office space.
  • Serves as the main Point of Contact related to classroom usage and needs for Sayre Decan Hall.
  • Assists with organizing school events as needed, including purchasing items and set up.
  • Provides general administrative support to the deans of CMFA, Humanities, and Business.
  • Processes requests for payments through university processes, including expense and reimbursement requests, and university credit card reconciliation.
  • Assists with ordering desk copies of textbooks and distribution of necessary course materials to adjunct faculty.
  • Assists with the annual FOCUS events and the annual Student Research Symposium as needed.
  • Assists with processing program assessment information.
  • Attends and assists with Commencement activities as needed.
  • Other duties as assigned.
Qualifications

Some college credit is required. Proficient in MS Word and Outlook, basic knowledge of Excel, and general comfort with computer software programs. Administrative experience and/or training preferred. To perform this job successfully, an individual must be able to have the ability to prioritize, complete multiple tasks, and possess good interpersonal, communication, and writing skills.
