Job summary

Virginia Tech's Biochemistry Department seeks an Academic Programs Coordinator to support administrative needs of undergraduate and graduate programs, coordinate events, and liaise with the Graduate School and program directors.

The role maintains graduate records, tracks exams and plans of study, and collaborates with fiscal staff on contracts and tuition payments. Interaction with students, faculty, and student organizations is frequent.

Qualifications

  • Experience providing administrative support to an academic unit or other entity.
  • Experience in the coordination of various deadlines for academic programs.
  • Demonstrated proficiency with computer applications such as Microsoft Office, Excel, Outlook, Adobe Acrobat, and Google Docs
  • Experience synthesizing, editing, organizing and proofreading documents, and keeping track of various tasks
  • Excellent communication skills
  • Ability to work on multiple tasks simultaneously
  • Ability to construct, use and manage permissions of digital records
  • Experience handling student records and assisting with grades
  • Skills and knowledge in word processing, database management, spreadsheet software, calendar management, and managing email
  • This position requires a person who adapts easily, accepts responsibility, and ensures a high level of accuracy with attention to detail
  • Competency in grammar, composition, and editing abilities
  • Must be a problem-solving, multi-tasking person with good organizational skills
  • Knowledge of or ability to learn university policies and procedures
  • Ability to work with sensitive information and maintain confidentiality

The Biochemistry Department in the College of Agriculture and Life Sciences at Virginia Tech seeks an Academic Programs Coordinator. This position supports the administrative needs of the undergraduate and graduate programs within the department. Assists with award/scholarship program by communicating with student awardees to ensure thank you notes go to donors. This position frequently interacts with students and faculty and provides administrative support for events planned by the department. The Coordinator also serves as liaison between the Graduate School and the departmental graduate committee and works closely with the Undergraduate and Graduate Program Directors. Manages graduate student recruitment visits and advises prospective/current students on programs, academic information, and applications. Maintains all graduate student records both on paper and in Google Docs. Keeps track of all students, support mechanism, qualifying and preliminary exam completions, plans of study, graduate program assessments, and works with Fiscal staff on graduate student contracts, and to pay tuition. Collects data on student achievements such as publications, fellowships, etc. Acts as point person for the Biochemistry Graduate Student Association, undergraduate peer mentors, undergraduate research lab placements, graduations.
