Academic Program Specialist (HEOa) - Newman Office of Prestigious Scholarships & Fellowships (OPS&F)

POSITION DETAILS

Supervise operations for the Newman Office of Prestigious Scholarships & Fellowships (OPS&F) to provide effective management of scholarship and fellowship processes and support for student

applicants. This position reports to the Director of Prestigious Scholarships and Fellowships (HEO).

Primary Responsibilities:

Assist in organizing and managing the Fulbright application and interview process, including supporting

recruitment and communication with applicants, coordinating summer workshops, organizing faculty

committees, scheduling interviews, and submitting applications by the Fulbright deadline.

Support students seeking fellowships, particularly those involving travel overseas (e.g., Gilman, CLS,

Freeman-Asia, Boren) and public service fellowships. This includes organizing information sessions, following

up with potential applicants, collaborating with relevant offices, and aiding in application preparation.

Represent OPSF in recruiting and supporting student applicants when areas of need or opportunity arise, as

identified by the Director.

Secondary Responsibilities:

Meet with students individually or in small groups to provide guidance and support.

Conduct research on new fellowship opportunities tailored for students in Hunter?s professional schools.

Produce and maintain demographic data on applicants and winners each year to monitor trends and outcomes.

Assist in conducting Navigate campaigns, maintaining social media platforms, and updating the office website.

Support program activities under management direction, in their absence as needed.

Organize catering and logistics for OPSF events, including workshops and information sessions, to create a

welcoming environment for students, while ensuring compliance with budget guidelines and vendor policies.

Administer web invoicing and other office business practices to assist with payments and reimbursements related to

office activities.

Serve as a resource for students and faculty regarding program policies and procedures related to prestigious

scholarships and fellowships.

Oversee and maintain records related to program activities, and prepare statistical data and reports.

Liaise with various college offices to provide service delivery and appropriate referrals to students regarding

fellowship opportunities.

QUALIFICATIONS

Bachelor?s degree and four years? related experience required.

-Well-developed oral and written communication skills

-Strong student success orientation; ability to assume responsibility, take initiative, learn new skills, and work

well both independently and in teams

-Proven ability to design and present well organized and informative programs/workshops

-Well-developed organizational skills: ability to manage time and handle multiple projects at once

-Excellent interpersonal and teamwork skills

-Proficiency with Microsoft Office Suite and Google Docs

Preferred:

-Master?s degree

-Experience training candidates for fellowship interviews

-Experience advising students applying for scholarships

-Familiarity with CUNY business practices; Navigate; CUNYFirst; Webinvoicing
