Job summary

Penn State University’s Fox Graduate School is seeking an Academic Program Coordinator to support the Graduate Enrollment Services (GES) team’s daily operations in an in-office setting. The role requires strong communication, data management, and organizational skills to serve students and university partners effectively.

POSITION SPECIFICS

The J. Jeffrey and Ann Marie Fox Graduate School’s Graduate Enrollment Services (GES) unit is seeking an Academic Program Coordinator to support daily operations for the GES team.

Responsibilities
  • Serve as first-line liaison with internal and external contacts (in person, telephone, and email/other electronic media) and work very closely with students, staff, and faculty across the university.
  • Answer inquiries from applicants and current students regarding the standard application, enrollment, and graduation procedures.
  • Schedule meetings and appointments and maintain calendars.
  • Manage the GES general email account.
  • Process incoming transcripts and test scores for graduate applicants.
  • Scan and index confidential student-related documents using imaging systems.
  • Develop new processes and procedures in support of GES office needs.
  • Perform routine data entry.
  • Proficiency in Microsoft Office (including Word, Access, Excel, and PowerPoint) is required; experience working on a student portal is preferred.
  • The individual in this role should be a team-oriented professional, self-motivated and have excellent interpersonal, verbal, and written communication skills, organizational and customer service skills, attention to detail, and the ability to manage multiple projects simultaneously.
Work Arrangement

This position is an in-office position with core hours being from 8:00 AM to 5:00 PM Monday through Friday.

Minimum Education, Work Experience & Required Certifications

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience

Salary & Benefits

The salary range for this position, including all possible grades, is $40,608.00 - $58,836.00.
