Job summary

The University of Michigan’s College of Pharmacy is seeking an Administrative Specialist to manage academic operations and compliance tracking for the College of Pharmacy. You will support student services processes including records, reporting, registration, class scheduling, course evaluations, intern licensing, policy acknowledgements, and degree progress.

Qualifications

  • Minimum 2-3 years of progressive professional administrative support experience in higher education or similar environment.
  • Experience managing academic scheduling, student records, course evaluation systems, or compliance tracking.
  • Proficient with enterprise student information systems (e.g., PeopleSoft/M-Pathways, WebAdmit) and reporting tools (e.g., Business Objects, Qualtrics, Excel).
  • Ability to analyze complex data sets, synthesize metrics, and generate ad-hoc operational reports for leadership.
  • Independent judgment and problem-solving skills to interpret policies and resolve issues without direct supervision.
  • Outstanding organizational skills to manage high-volume workflows and deadlines.
  • Excellent written, verbal, and interpersonal communication with faculty, leadership, staff, and students.

Responsibilities

  • Manage academic operations supporting course delivery, registration, enrollment, curriculum administration, exam scheduling, and class schedule preparation.
  • Maintain course and schedule data in MPathways, including instructor assignments, instructor effort, final exam information, course details, and enrollment blocks.
  • Coordinate registration troubleshooting, student holds, and professional elective updates.
  • Manage student records, data tracking, compliance tracking, and reporting.
  • Monitor completion of annual policy acknowledgements, background checks, PharmD intern licensing, PDI requirements, and progression milestones.
  • Prepare routine and ad hoc reports related to admissions, enrollment, progression, compliance tracking, and licensing.
  • Manage course and teaching evaluation processes; schedule evaluations in Blue; generate reports and distribute results.
  • Distribute evaluation results to department chairs, course coordinators, faculty, and program leadership to support course improvement and curriculum assessment.
  • Confirm completion of degree requirements (PharmD and BSPS); review degree audits and coordinate student follow-up.
  • Serve as primary contact for students resolving degree audit issues.
  • Support student affairs operations, communications, events, and projects; respond to inquiries and assist with website updates and COP events.
