Job Description:

The Academic Affairs Administrator Operations serves as a critical advisor and strategic partner to the Vice President of Academic Affairs. The position also supports the administrative requirements of the Office of Academic Affairs to ensure the efficient, effective operation. This role includes overseeing faculty and staff accountability, managing strategic initiatives, and tracking departmental progress to ensure alignment with the College of Osteopathic Medicine and Universities Academic priorities. The position requires a balance of operational leadership, strategic oversight, and administrative excellence, coupled with the authority to support accountability across the department.

SPECIFIC RESPONSIBILITIES:
Strategic Leadership and Oversight
  • Act as a trusted advisor to the V.P. of Academic Affairs and the Dean of the COM, providing insights and updates on the status of strategic priorities and operational effectiveness.

  • Monitor departmental progress on academic and operational initiatives, ensuring alignment with the COM’s vision and goals.

  • Establish and maintain systems to track deliverables across Academic Affairs, ensuring all faculty and staff meet their responsibilities.

  • Proactively identify areas requiring intervention and provide recommendations to the V.P. Academic Affairs and Dean.

Accountability and Coordination
  • Serve as a Delegate of the V.P. and Dean to ensure faculty and staff compliance with assigned tasks, deadlines, and departmental goals.

  • Serve as liaison and advisor to academic leaders among the faculty, principally interacting with the Chair of Curriculum Committee, the Associate Deans for Biomedical Science and Clinical Education for the delivery and evaluation of the curricular offerings f the COM.

  • Facilitate cross-departmental coordination to resolve challenges and ensure progress on initiatives.

  • Enforce accountability by addressing delays or roadblocks and implementing solutions.

  • Act as a representative of the administration to maintain consistent follow-through and responsiveness of the faculty and staff concerning the academic needs and schedules of COM.

Executive Support
  • Provide high-level administrative support to the V.P. of Academic Affairs and the Dean, including managing confidential communications, correspondence, travel and scheduling.

  • Prepare reports, presentations, and data summaries to assist in informing and presenting the decision-making outcomes of the departments.

  • Coordinate and organize meetings and events hosted by the Office of Academic Affairs, ensuring they align with departmental priorities.

  • Works cooperatively with the Ex. Assistant for the Dean for the operations of the C-suite to ensure the fulfillment of the responsibilities and obligations required of the Dean and V.P.

  • Manage special projects and assignments as directed.

Operational Excellence
  • Oversee the efficient operation of the Office of Academic Affairs, ensuring processes, policies, and workflows are optimized for success.

  • Assist in the development and monitoring of academic budgets and resource allocation to support department goals.

  • Support the preparation, review, and submission of accreditation reports and other compliance-related documentation.

Leadership and Supervision
  • Supervise administrative staff within Academic Affairs, delegating tasks and mentoring for professional growth.

  • Provide leadership in fostering a culture of accountability, collaboration, and excellence across the department.

  • Collaborate with Associate Deans, department chairs, faculty, and staff to ensure smooth operations and adherence to priorities across the COM.

SUPERVISORY RESPONSIBILITIES:

Oversees administrative staff within Academic Affairs.

QUALIFICATION(S):
  • A bachelor’s degree or 5+ years of work-related experience in academic administration or medical education is preferred.

  • Proven ability to manage complex projects and facilitate cross-functional collaboration.

  • Strong organizational and operational leadership skills, with the ability to enforce accountability at all levels.

  • Exceptional written and verbal communication skills, with a high level of discretion in handling sensitive information.

  • Demonstrated ability to work independently, prioritize competing responsibilities and maintain a proactive approach to problem-solving.

  • Proficiency in Microsoft Office Suite and project management tools.
