Job SummaryWe are seeking an experienced and proactive Practice Manager to oversee the operations and business management of a financial advisory firm specializing in 401(k) retirement plan consulting. The ideal candidate will support the lead advisor by managing client workflows, optimizing practice efficiency, maintaining regulatory compliance, and ensuring a high level of service for plan sponsors and participants.
Key Responsibilities Practice Operations & Management• Oversee day-to-day operations, ensuring internal workflows run smoothly and efficiently.
• Manage onboarding for 401(k) plans and individual wealth management clients.
• Monitor service calendars, deadlines, and client deliverables.
• Develop and implement standard operating procedures (SOPs).
Operations & Workflow Management• Maintain and continuously improve onboarding procedures and SOPs.
• Track onboarding activity in the CRM and ensure data accuracy across systems.
• Coordinate with advisory, compliance, and administrative teams to align processes with firm standards.
Client Relationship & Service Management• Build and maintain relationships with plan sponsors and key contacts.
• Serve as liaison between clients, plan sponsors, recordkeepers, TPAs, and custodians.
• Coordinate and prepare for client meetings; follow up on action items.
• Manage post-onboarding follow-ups and integrate clients into ongoing service routines.
• Support participant communication, education campaigns, and meeting prep.
• Ensure consistent and exceptional client service.
New Client Onboarding (Primary Focus)• Serve as the main point of contact for onboarding new 401(k) plan clients.
• Create customized onboarding timelines and checklists.
• Coordinate with all relevant parties for plan setup or conversion.
• Manage documentation and signature processes.
• Schedule initial meetings and participant education sessions.
• Ensure smooth data transitions, payroll integration, and technology access.
• Track progress and resolve roadblocks promptly.
Team & Technology Management• Supervise support staff or coordinate with virtual assistants.
• Manage CRM and retirement plan platforms.
• Identify and implement technology improvements.
Marketing & Business Development Support• Assist with newsletters, client communications, and event coordination.
• Help maintain marketing materials, RFP responses, cost comparisons, and proposals.
Compliance & Documentation• Maintain records in line with IRS, DOL, and FINRA regulations.
• Assist with ERISA reporting, plan reviews, and fiduciary documentation.
Qualifications• Bachelor’s degree in Business Administration, Finance, or related field preferred.
• 3–5 years of experience in financial advisory or retirement plan consulting.
• Strong knowledge of 401(k) plans, ERISA regulations, and industry providers.
• Proficiency with CRM systems, RPAG, and custodial platforms (e.g., Empower, Hancock, Voya).
• Excellent communication, organizational, and problem-solving skills.
• Ability to manage multiple priorities and meet deadlines.
