Job summary

City of Dover's Fleet Services is seeking an Inventory Clerk to manage stock, parts, and repair orders for all vehicle services. This full-time, 40-hour-per-week role operates under the Fleet Supervisor and requires accurate inventory control and attention to detail.

You will work with mechanics, maintain stock labeling and conduct cycle counts, while preparing for year-end audits and supporting fleet operations during emergencies and snow operations.

Qualifications

  • High school diploma or equivalent; minimum 4 years in inventory control.
  • At least 2 years of inventory monitoring experience.
  • NH CDL-B with air-brake and tanker endorsements required.
  • ASE licensure preferred.
  • Proficient in PC hardware/software, MS Office, and databases.

Responsibilities

Job description

The City of Dover Community Services Director is seeking an individual to perform a variety of duties in receiving, issuing, handling, and accounting for inventory stock in Fleet Maintenance, under supervision of the Fleet Supervisor. This person would primarily maintain inventory and work orders pertaining to repair and maintenance of all vehicle services by Fleet Maintenance. To also perform unskilled and semi-skilled work, as may be required.

This is a full-time, non-exempt, 40 hour per week position with excellent full-time benefit offerings. $25.19 to $36.47 per hour. Position is open until filled.

DUTIES AND RESPONSIBILITIES

1. Responsible for purchasing, receiving, and maintaining inventory for Fleet Services Division.

2. Stocks and posts incoming orders.

3. Reviews fleet-related Service Requests and prepares Repair Orders.

4. Works with Mechanics to identify and order required parts for vehicle repairs; ensures City Purchase Orders are properly set up and approved for each item; adds and subtracts all parts on repair orders, as may be necessary.

5. Provides Mechanics with parts needed for a pre-scheduled repair.

6. Confirms that delivered goods match invoices; completes all necessary paperwork for stock items issued, ensuring all invoices are checked and correct; ensures credits are received for returned parts.

7. Conducts periodic inventory cycle counts (as directed by Supervisor) to review status and availability of high-use items.

8. Prepares inventory for fiscal year end audit with Fleet Supervisor for review by independent auditing firm.

9. Organises and maintains stock room and inventory to include housekeeping and security; maintains labeling system on each stock item; manually stocks inventory shelving with stock items received or returned to ensure parts are but into bins and are properly numbered/labeled.

10. Answers incoming calls to Fleet Division, handles customer inquiries, and may meet with customers.

11. Completes and maintains records and reports as required.

12. May occasionally operate trucks, forklifts, or hoists or other necessary vehicles or equipment to properly handle materials being received, issued, stocked, and picked; may provide other City Departments with forklift operations, as needed.

13. Shuttles vehicles from other departments or entities to Fleet Services for repairs. May include the shuttle of vehicles from Fleet Services to outside maintenance shops within and outside City of Dover.

14. May be required to pick-up materials, parts or equipment that can’t be readily delivered.

15. Will be required to be available for emergency repairs as well as plowing, snow salt sand operations and snow pick up.

16. Establishes and maintains effective working relationships with employees, other departments and agencies, and the general public.

17. Maintains familiarity with and executes safe work procedures associated with assigned work.

18. Performs other related duties as required.

KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS:

Detailed knowledge of heavy vehicle, diesel, and general automotive parts and repairs. Knowledge of inventory control practices and knowledge of equipment, facilities, materials, methods and procedures used in Fleet Services repairs and activities. Working knowledge of personal computer hardware and software including familiarity with the use of various software applications including word-processing, electronic spreadsheets and data bases. Must be proficient in looking up and ordering parts from various vendors. Knowledge of municipal bookkeeping and purchasing operations and overall city organization. Ability to maintain administrative, fiscal and general records and to prepare reports and answer questions from records. Needs to be highly organized and detail-oriented, with ability to multitask in a fast-paced work environment. Ability to prepare effective correspondence, reports and other documents. Ability to understand and follow oral and written instruction. Ability to establish and maintain effective working relationships with employees, other departments and the general public. Ability to work under adverse conditions.

EDUCATION/LICENSURE/CERTIFICATION REQUIREMENTS:

High school diploma or equivalent. Four years minimum, and at least 2 years' experience with inventory control and monitoring; OR any combination of education and experience which demonstrates the possession of the required knowledge, skills and abilities. ASE licensure would be preferred. Must maintain valid NH CDL-B, with air-brake and tanker endorsements.
