Job summary

Grand Rapids Public Schools is seeking a LOOP Program Administrator to implement and facilitate 21st Century Learning Center after‑school programs at designated sites in Grand Rapids, Michigan. You will ensure compliance with ELO standards, MOST standards, YPQ mandates, and licensing regulations.

The role requires full‑time hours, collaboration with school staff, community partners, and ongoing program evaluation. Requires strong communication, organizational skills, and supervisory experience.

Qualifications

  • Minimum Age: 21 years.
  • Minimum Education: High school diploma or GED.
  • Administration Training: 2 semester hours or 3.0 CEUs in childcare administration within 6 months of hire.
  • Minimum Experience: 1 year.
  • Mandatory Training: 3 hours MiRegistry approved training in Program Management, Challenging Behaviors, Trauma‑Informed Practices.
  • Additional Training: 6 hours MiRegistry approved training in Interactions and Guidance, Challenging Behaviors, or Trauma‑Informed Practices.
  • Mandated Coursework: 90 clock hours in Child Care Administration, Early Childhood Education, Child Development, Youth Development, or Child‑Related Field.
  • Additional Qualifications: Reliable transportation, supervisory experience (preferred).
  • Knowledge, Skills, and Abilities: Continuous professional development, excellent communication, strong organizational skills, collaborative teamwork, volunteer coordination, human relations, creative problem‑solving, youth development knowledge, computer proficiency, dependable attendance.

Responsibilities

  • Direct communication and delivery of the after‑school program with OEL and the building principal.
  • Maintain scholar and program information via MSU EZReports and Scores Reporter.
  • Facilitate the Scholar/Parent Advisory Committee.
  • Attend all meetings, trainings and program planning sessions scheduled by OEL.
  • Represent after‑school program at open houses, parent‑teacher conferences, and orientations.
  • Maintain ongoing communication with OEL staff, building principal/designee, school day staff and after‑school staff.
  • Collect and submit all necessary documentation required by OEL.
  • Store confidential records in a locked cabinet.
  • Adhere to GRPS, MDE, and licensing policies and procedures.
  • Meet reporting deadlines.
  • Other duties as assigned.
  • Distribute and collect data for program evaluation as required.
  • Assist in evaluation of all outside vendors providing services.
  • Supervise program‑delivery staff at 21st CCLC sites.
  • Assist in evaluation of program staff (vendors, volunteers, scholar workers).
  • Keep immediate supervisor informed of volunteer and staff personnel issues.
  • Be present in the center full time (AM and PM programs).
  • Act as a liaison between GRPS and school administration, teachers, and community.
  • Plan and implement family engagement activities.
  • Be on‑site during all programming hours and reachable during scholar transport times.
  • Coordinate program‑delivery logistics: site requirements, transportation, food service, ordering & pickup of supplies.
  • Collaborate with academic lead teacher on School Improvement Team meetings to support academics.
  • Collaborate with school day teachers to support academics.
  • Collaborate with community partner agencies to provide services for scholars.
  • Document attendance of scholars and staff.
  • Recruit, orientate, and enroll children/families to the program.
  • Maintain contact with Parents/Guardians.
  • Maintain a safe and orderly environment.
  • Follow procedures for Mandated Reporting and GRPS procedures regarding Mandated Reporting.
  • Follow GRPS and standard Risk Management procedures.
