About the Role
Help ensure all team members follow established standard operating procedures and document control requirements.
Responsibilities
- Monitor documentation compliance and identify gaps or missing information.
- RFQ & Purchasing Support
- Prepare and distribute RFQ (Request for Quotation) templates to suppliers.
- Support the collection and organization of supplier quotations and responses.
- Prepare purchase requisition and purchase order request documentation for buyers.
- Assist procurement personnel in maintaining accurate purchasing records.
- Support continuous improvement of procurement administration processes.
- Bills of Lading
- Packing Lists
- Shipping Documentation
- Delivery Records
- Validate documentation against purchase orders and project requirements.
- Ensure documentation accuracy to support timely receipt of goods and invoice processing.
- Work closely with Procurement, Operations, Finance, and Logistics teams to resolve documentation discrepancies.
- Help facilitate the efficient receipt of drop-shipped materials into company systems.
Administrative Support
- Provide general administrative support to the Procurement organization.
- Assist with reporting, document preparation, and information gathering.
- Support special projects and operational initiatives as required.
- Contribute to process development and continuous improvement activities within the department.
Qualifications
- High school diploma or equivalent.
- 1-3 years of experience in an administrative, procurement, supply chain, purchasing, logistics, or office support role.
- Strong organizational and document management skills.
- Exceptional attention to detail and accuracy.
- Strong communication skills, both written and verbal.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
Required Skills
- Associate's or Bachelor's degree in Business, Supply Chain, Procurement, or a related field.
- Experience working with purchase orders, supplier documentation, or logistics paperwork.
- Familiarity with ERP or purchasing systems.
- Experience supporting procurement, operations, manufacturing, or supply chain teams.
