Job summary

Hilton in Istanbul Fatih is seeking an Engineering Office Coordinator to manage the Engineering Office, coordinate maintenance requests, and support budgeting and documentation to ensure smooth operations and exceptional guest experiences.

You will handle the PO system, readings, reports, and coordination with supervisors, while maintaining records, communications, and compliance with Hilton policies.

Responsibilities

• Receives incoming maintenance and repair requests via email and telephone, prioritizes requests, and coordinates them with the appropriate supervisor, shift leader, or technician.
• Manages the organization of the Engineering Office and maintains all related documentation, records, and paperwork.
• Provides effective internal and external communication support for the Engineering Department.
• Operates the Engineering Purchase Order system, coordinates ordering processes, controls invoices, and follows up on related reports, including Expenses and POMEC reports.
• Supports the Chief Engineer and Assistant Chief Engineer in engineering budget preparation, monitoring, and cost control processes.
• Ensures daily and monthly utility meter readings and consumption records are accurately maintained and updates the LightStay system with required monthly data.
• Prepares monthly energy forecasts, reports, and related charts.
• Follows up Event BEOs and coordinates engineering-related requests with the appropriate supervisor, shift leader, or technician according to priority.
• Provides documentation support for maintenance activities, inspections, and technical checks.
• Follows up and maintains records within the Synergy system.
• Performs other reasonable duties and assignments as requested by the Chief Engineer and Assistant Chief Engineer.
• Ensures the Engineering Office remains organized, efficient, and compliant with departmental standards and procedures.
