  • Monitor faculty appointments and academic titling, coordinate nomination calls for academic appointments and awards.
  • Coordinate incoming/outgoing academic visits, including scheduling, logistics, and financial planning.
  • Plan and execute department events and retreats, including publicity materials and on-the-day support.
  • Handle general business functions including procurement, IT and finance processes, and maintenance of records.
  • Review and improve work processes to enhance efficiency and stakeholder experience.

About the Role

You will be part of the Oncology Academic Clinical Programme (ACP) administrative unit under the SingHealth Duke-NUS Academic Medical Centre (AMC), hosted in NCCS. The ACP brings together faculty and administrative members to drive the AMC's strategic goals in advancing academic medicine. In this role, you will be a key administrative personnel supporting one or more of the following areas: Grants and Research & Innovation, Faculty Affairs and Professional Development, General Business Functions and Events Management, and Process Improvement and New Initiatives.

Some of the Key Responsibilities Include:

Administer ACP Programme Grant calls, manage fund drawdowns, grant extensions and variation requests, and follow up with Principal Investigators on progress and final reports to ensure sound grants governance.

Support research and innovation programmes and collaborations aimed at developing academic talents and capabilities in academic medicine.

Monitor faculty appointments and academic titling, coordinate nomination calls for academic appointments and awards, and track faculty career progression for reporting purposes.

Coordinate incoming and outgoing academic visits, including scheduling, logistics, and financial planning, to facilitate faculty development and exchange.

Plan and execute department events and retreats, including preparation of publicity materials, scripts, and write-ups, as well as providing on-the-day event support.

Handle general business functions including procurement, IT and finance processes, and maintenance of department assets and records.

Review and improve work processes periodically to enhance efficiency, work quality, and stakeholder experience, and represent the department in ad-hoc and regular committees.

Job Requirements

Degree in any discipline; fresh graduates are welcome to apply.

2 to 4 years of working experience in a healthcare or education setting / handling grant administration, research, or working with academic faculty would be beneficial.

Strong problem-solving skills with the ability to analyse and convey complex information.

Meticulous, well-organised, and able to multi-task efficiently in a dynamic environment.

Resourceful and proactive team player with a positive attitude and a keenness to learn and grow.

Good interpersonal and communication skills, both oral and written.

Proficient in Microsoft Office applications.
