Job Description

We invite applications from proactive and highly organized candidates for the role of Senior Executive, Academic Affairs. This position plays a vital role in supporting faculty administration functions, including faculty review processes, coordination, and management of campus visits.

The successful candidate will coordinate key faculty review cycles—including mid-term review, promotion and tenure, and campus visits—and provide support for a range of administrative initiatives within the School of Computing.

Key Responsibilities
  • Faculty Review Coordination: Manage the full annual Mid-Term Advisory Report (MTAR) cycle, including timeline planning, dossier completeness checks, committee scheduling, and outcome tracking.
  • Coordinate the Promotion & Tenure (P&T) process end-to-end, in line with University policies and procedures.
  • Coordinate the Faculty Campus Visit process, including scheduling, logistics, interview coordination, and documentation to ensure a smooth and professional experience for all participants.
  • Handle preparation of dossiers, reference letter workflows, committee logistics, and documentation while maintaining confidentiality and integrity of materials.
  • Ensure all materials, communications, and reports are accurate, complete, and provided in a timely manner.
Stakeholders Engagement
  • Liaise closely with Dean's Office, Heads of Departments, Committee Chairs and other units in the School/University to align timelines, expectations, and deliverables.
  • Serve as a key point of contact to ensure smooth coordination across internal and external stakeholders.
Administrative & Logistics Support
  • Provide administrative and logistical support for faculty- and people-related activities, including campus visits, onboarding programs, meetings, and events.
  • Assist in general office administration, documentation, procurement, and travel arrangements.
  • Support logistics coordination for academic and administrative functions to ensure seamless operations.
  • Process all finance-related claims for UG and PG units.
Reporting & Data Management
  • Prepare and maintain accurate faculty records, ensuring compliance with data integrity standards.
  • Handle ad-hoc reporting requests, tailoring outputs to meet diverse departmental needs.
  • Provide data-driven insights and analysis to support policy development and strategic decision‑making.
Qualifications
  • Bachelor's degree in Business Administration, or a related field.
  • Preferably with at least 3 years of relevant administration, or faculty affairs experience, in a higher education or research environment.
  • Strong organizational and coordination skills, with attention to detail and timelines.
  • Excellent written and verbal communication skills, with the ability to handle confidential information with discretion.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and workflow management systems.
  • A team player who demonstrates initiative, professionalism, and service excellence.
