Job summary

Schott Singapore Pte Ltd. seeks an HR Operations (Plating) Liaison to manage attendance, payroll adjustments, leave tracking, work permit renewals, and resignation processes. You will also oversee uniform/PPE distribution and support EHS initiatives on-site.

The role includes chemical warehouse management, procurement tasks, and regular safety inspections to ensure compliance with SDS and local regulations. Strong MS Office and attendance software skills are required.

Qualifications

• Minimum GCE O-Level qualification.
• Prior experience in a manufacturing environment (Plating/Chemical industry preferred).
• Proficiency in Time & Attendance software and MS Office (Excel is essential for tracking permits and inventory).

Responsibilities

• Monitor attendance clocking daily and coordinate with HR to rectify payment errors for Plating employees.
• Track all leave types for the department and manage resignations and exit clearances.
• Liaise with HR for Work Permit renewals to ensure compliance for foreign labor.

Job Responsibilities

HR Operations (Plating Department Liaison)

• Attendance & Payroll: Monitor the attendance clocking system daily. Resolve any discrepancies in hours worked and coordinate with the HR Department to rectify payment errors for Plating employees.

• Leave Management: Track all leave types (Annual, Medical, Unpaid) for the department.

• Employee Recruit : Prepare all documentation for new recruits.

• Manage the resignation process and exit clearances.

• Liaise with HR for Work Permit renewals to ensure legal compliance for foreign labor.

• Uniform & PPE: Oversee the inventory and distribution of company shirts and specialized safety wear (aprons, gloves, boots).

EHS & Chemical Warehouse Management

• Chemical Safety: Arrange and manage the Chemical Warehouse, ensuring all hazardous substances are stored according to Safety Data Sheets (SDS) and local regulations. Purchase the chemicals and production related items based on requirement of individual production line. Maintain the record of chemicals IN and OUT.

• SPO and Purchase Request/Purchase Order Ordering: Input the data for raising Purchase Request, Entry Sheet and other purchasing items.

• Chemical contaminated waste: Arrange to send empty carboys, drums, chemical waste and general waste. Submit E-tracking form to NEA.

• EHS Compliance: Conduct regular safety inspections within the Plating area. Identify hazards and ensure all safety equipment (eyewash stations, spill kits) is functional.

Utility & Consumption Monitoring

• Conduct physical inspections of meters to record daily Electrical and Water consumption readings for the Plating Department.

• Maintain a detailed log of consumption per individual production line.

• Compile daily readings into a monthly summary report. Identify trends, spikes, or leaks (abnormal consumption) and report them to the Plating Manager.

6S & Internal Auditing

• 6S Coordination: Lead and initiative on the shop floor. Conduct weekly audits together with Safety officer, rectify the audit finding items and maintain the 6S visual board. Arrange Professional Housekeeping in Plating Production areas for Special visitors, Customer visit/Audit and external auditors’ visit.

• Internal/External Audit: Perform regular internal audits of departmental processes to ensure readiness for ISO45001 and IATF16949 or corporate EHS inspections (preparation for FORM, WI, PMP, RA and related documents). Act as an internal auditor for cross department.

Indirect Material Procurement

• MRO Purchasing: Manage the purchase of indirect materials (cleaning agents, tools, office supplies, Pantry items, Office stationery items, Drinking water and PPE).

• Vendor Coordination: Liaise with suppliers to ensure timely delivery and manage the budget for non-production consumables.

Permit and License: Regulatory Submission Support/MOM surprise check.

• Gathering technical data: (consumption reports, chemical inventory, ERP, Photos) for submission to government bodies (e.g., National Environment Agency, Ministry of Manpower for License new /renewal and others).

• Audit Readiness: Organize and archive all Factory/Department records so they can be presented immediately during unannounced government inspections.

Performance Indicators (KPIs)

• Audit Readiness: Maintaining a 6S score of 90% or higher.

• Payroll Accuracy: Reduction in employee payment discrepancy claims through proactive attendance monitoring.

• Safety Compliance: Zero major non-conformances during Internal/External Auditing.
