About the role:
We are seeking a highly organized and professional Personal Assistant to provide high-level support to the Managing Director and senior executives. This role requires acting as a trusted gatekeeper and confidante, ensuring smooth day-to-day operations through effective coordination, communication, and administrative support.
What You’ll Be Doing:
- Calendar & Schedule Management – manage the Managing Director’s calendar, appointments, and meetings, prioritizing schedules to ensure optimal time usage.
- Communication & Correspondence – screen and manage incoming calls and communications, and draft emails, reports, and professional correspondence on behalf of the Managing Director.
- Travel Arrangements – organize and coordinate domestic and international travel, including flights, accommodation, and transportation, ensuring alignment with senior management’s schedules and preferences.
- Meeting & Executive Support – coordinate and prepare meeting agendas, presentations, and materials; attend meetings, record minutes, and ensure timely follow-up on action items.
- Admin and Office Management – maintain confidential files and records, conduct research and compile information as required, and support office logistics, supplies, and overall office organization.
- Events Coordination – assist with planning company events, conferences, and off‑site meetings.
- Ad hoc Matters – handles personal errands and confidential tasks as requested by the Managing Director.
What We’re Looking For:
- Diploma or degree in a related field.
- Proven experience as a Personal Assistant or in a similar role.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication skills.
- Proficiency in MS Office and calendar management tools.
- High level of discretion and professionalism.
- Proactive, detail-oriented, and adaptable in a fast-paced environment.
